Zoho Mail for a small business in Africa: plans, setup and limits

Zoho Mail for small business: the free plan for five users, paid plans in naira from Zoho’s pricing page, the DNS steps and the limits to know before you start.

Zoho Mail for small business comes in two shapes. There is a free plan that hosts email for one domain for up to five users, with 5 GB of mail storage each and no IMAP, POP or ActiveSync access. And there are paid plans priced per user, billed annually. For a team of up to five people who read mail in a browser or in Zoho’s own apps, the free plan is a genuine way to get email at your own domain without a monthly bill.

This article on Zoho Mail for small business reads Zoho’s pricing page and help pages as they stood in October 2026, shows the DNS steps to connect your domain, and lists the limits that catch people out. We make emailfooter, a signature plugin, so we have no stake in which mail provider you pick. Prices change, so check Zoho’s page before you buy.

Zoho Mail for small business, in brief

  • Free plan: up to 5 users, one domain, 5 GB per user, ad-free. No IMAP, POP or ActiveSync. Zoho notes it is “available only in select data centers”.
  • From the sixth user, everyone moves to a paid plan, and each user is billed. The five free users do not carry over.
  • Paid plans: Zoho showed Mail Lite at ₦770 per user per month, billed annually, when we opened its page.
  • You must add MX records to your domain for mail to arrive at Zoho.

What Zoho Mail for small business costs

On its pricing page in October 2026, Zoho listed these business plans. The page showed prices in Nigerian naira when we opened it. Zoho prices by region and the prices load through the page rather than sitting in its plain HTML, so what you see may differ. It also says local taxes such as VAT are charged on top.

PlanPrice per user per month, billed annuallyMail storage per userAttachment limit
Mail FreeFree5 GBNot shown for this plan
Mail Lite₦770 (no monthly plan)5 GB or 10 GB, as the page shows30 MB, or up to 250 MB with Huge Attachment
Mail Premium₦3,080 (no monthly plan)50 GB, plus 50 GB retention40 MB, or up to 1 GB with Huge Attachment
Workplace Standard₦2,310 (₦3,080 billed monthly)30 GB, plus team file storage30 MB, or up to 500 MB with Huge Attachment
Workplace Professional₦4,620 (₦5,390 billed monthly)100 GB, plus 100 GB retention40 MB, or up to 1 GB with Huge Attachment

Workplace Enterprise is custom, by contacting sales. The page lists a free 15-day trial of the highest edition, with no credit card. It also lists 24×7 support and a 99.9% uptime guarantee for the paid plans, and says annual billing gives a discount of about 20 percent, which may vary by region.

As simple arithmetic on those figures, six people on Mail Lite would come to 6 × ₦770, or ₦4,620 a month, billed annually. That is our calculation, before tax.

The Zoho Mail for small business free plan, and its limits

Zoho describes the free plan as email hosting for one domain for up to five users, with 5 GB of mail storage per user, no file storage and a mobile app. It says “IMAP/POP/ActiveSync not included”, and that the plan is private and ad-free. The page footnote says the free plan is available only in select data centres.

What the free plan of Zoho Mail for small business means in practice:

  • No desktop mail apps through IMAP or POP. You read mail in Zoho’s webmail and mobile app. If your team lives in Outlook or Apple Mail, the free plan is the wrong fit.
  • One domain. A second domain needs a paid plan.
  • A hard limit at five. On the sixth user, per the page, all users enter a paid plan. Its FAQ is blunt: the five free users apply only to the free plan, and on a paid plan every user is billed.
  • It may not be offered everywhere. Because of the data-centre note, ask Zoho which data centre your account will use before you build on the free plan.

If you want something equivalent from another provider, our article on a free business email address compares the options. If you are choosing between providers, Google Workspace for a small business in Africa and Microsoft 365 business email cover the others.

Set up Zoho Mail for small business: connect your domain

These steps follow Zoho’s help pages for domain verification, email delivery, SPF and DKIM, read in October 2026. If a menu name has changed since, Zoho’s page wins. You need a domain you own and access to its DNS settings at your registrar.

Step 1: Verify the domain

  1. Sign in to the Zoho Mail Admin Console.
  2. In the left pane, open Domains and select your domain.
  3. Under Verify Domain Ownership, choose Add a TXT record in the DNS from the dropdown. Zoho also offers a CNAME record and an HTML file on your website.
  4. Copy the generated code.
  5. At your domain provider, open the DNS page and add a TXT record. Enter @ (or leave it blank) as the name, paste the code as the value, and use the shortest recommended TTL.
  6. Allow time for it to spread. Zoho’s page says one to two hours.
  7. Back in Domains, click Verify TXT record.

Step 2: Add the MX records

Zoho’s help page says adding MX records is mandatory after verification. For its main data centre it lists three: mx.zoho.com at priority 10, mx2.zoho.com at 20 and mx3.zoho.com at 50. It adds that the ending of those names varies with the data centre where your data is hosted, and tells you to look in Tools & Configurations in the Admin Console for the exact values. Use those, not ours.

Remove any older MX records for the domain, as mail can go to the wrong place while both exist. Google’s help page gives the same advice for Google Workspace.

Step 3: Add SPF and DKIM

These two records help receiving servers trust mail from your domain. Zoho’s page gives the SPF record as v=spf1 include:zohomail.com -all, and says to check it under Domains, Email Configuration, SPF, then Verify SPF Record. For DKIM, it has you open Email Configuration, choose DKIM, click Add, name a selector, pick a key length of 1024 or 2048 bits, copy the generated value into a TXT record named selector._domainkey at your DNS provider, then return and verify. Our guide to SPF and DKIM for a small business explains why they matter.

Add your signature in Zoho Mail for small business

Zoho’s help page for signatures, read in October 2026, gives these steps for the web app:

  1. Open Zoho Mail and select the Settings icon.
  2. Go to Signatures.
  3. Click the + icon and give the signature a name.
  4. Type the details and add formatting. You can insert images and links.
  5. Click Save.
  6. Use Associate Mail Address to link the signature to a From address.

The page says Zoho Mail supports multiple signatures, one for each address or alias, and that image formats are GIF, JPG, JPEG, BMP and PNG. If an administrator has set a signature for your account, it shows a lock icon and you cannot edit it. Our guide to adding a signature in Zoho Mail goes through it step by step, and the one on organisation-wide signatures in Zoho Mail covers the admin route.

Here is the kind of signature a five-person team might paste into that box. It uses a logo, which Zoho’s page says you can insert, and a few social icons.

Example of a signature for a Zoho Mail account on the free plan. The company and person are made up.

For a team on Zoho Mail for small business, a shared design saves the argument over who made theirs bigger. emailfooter lets a company design one signature and gives each person install steps for Zoho among its 16 mail apps. It does not push the signature into Zoho for you. Each person pastes it themselves, and Zoho’s admin-assigned signature route is a separate feature.

Is Zoho Mail for small business the right pick?

It suits you if:

  • You have five people or fewer and are happy with webmail and a mobile app, so the free plan works.
  • You want a low per-user price once you outgrow five. Mail Lite was the cheapest paid plan on the page.
  • You do not need Word, Excel and a full collaboration suite from the same vendor.

Look elsewhere if Zoho Mail for small business cannot give you desktop mail apps on the free tier, a large team on one domain with minimal cost, or deep integration with Microsoft Office files. Our pillar guide to business email setup in Africa lines Zoho up against Google Workspace, Microsoft 365 and web-hosting email, using public prices.
