How to add a signature in Zoho Mail (including HTML and replies)

How to add signature in Zoho Mail: the Settings path, the Insert HTML option, a signature for each address or alias and the setting for replies.

How to add signature in Zoho Mail: click the Settings icon, go to Signatures, click the + icon, name the signature, enter and format the details, and click Save. That gives you a rich text signature. These steps follow Zoho’s Signatures help page, read in October 2026. The page also covers HTML, one signature per address, and a separate setting for replies, and this guide takes those in turn.

How to add signature in Zoho Mail, in short

  1. Settings icon, then Signatures.
  2. Click +, name the signature and fill it in.
  3. Use Insert HTML in the editor if you have formatted HTML.
  4. Link it to an address with Associate Mail Address.
  5. For replies, tick Add signature to all my email replies, then Save.

How to add signature in Zoho Mail, step by step

Zoho’s page gives these steps for a new signature.

  1. Sign in to Zoho Mail and click the Settings icon.
  2. Go to Signatures.
  3. Click the + icon to create a signature.
  4. In the pop-up, give it a name.
  5. Enter the details and format them how you like.
  6. Add a logo or other image if you want one, and hyperlink it if needed.
  7. Click Save.

Name it for the job, not for the person. “Sales full” and “Support short” tell you more in a list than “Signature 1” does. Zoho Mail supports more than one signature, and you repeat the steps with different names to add each.

How to add signature in Zoho Mail as rich text or HTML

Zoho describes two routes. The ordinary editor gives you rich text. Zoho adds that you can insert formatted HTML into the signature using the Insert HTML option in the editor, and that you can create one with Zoho’s own email signature generator.

Where the Insert HTML button sits is not described, nor how much code the box accepts, so look in the toolbar of the editor when you open it, and keep the markup short. If you already have a finished design from another source, such as a generator, you have two options: paste the HTML through that option, or paste the rendered signature into the editor. Whichever you choose, send yourself a test and look at it in another mail app. For what makes HTML hold up, see our guide to the HTML email signature, and for the equivalent in Google’s mail, adding an HTML signature to Gmail.

Zoho gives one warning that matters here. Any formatting in the signature, including images and hyperlinks, is not displayed when you compose in plain text format. If a reader reports a bare signature, check the format you wrote in before you blame the signature.

How to add signature in Zoho Mail for each address or alias

Zoho Mail supports multiple signatures and customises them according to the address or alias in use. Two ways to tie a signature to an address:

  • While creating the signature, use the Associate Mail Address option.
  • Click the + icon on an existing signature to associate it with other From addresses.

For new emails, the Associated From address(es) for new emails section is where you select the addresses a signature belongs to. When you write a message from one of those addresses, the signature set as the default for it fills the composer automatically.

Here is a worked example of how to add signature in Zoho Mail for a small company with three kinds of mail:

Signature nameContentAssociated for new emailsAssociated for replies
Sales fullName, role, logo, phone, websitesales@ and your own addressNot selected
Reply shortName, role, phoneNot selectedsales@ and your own address
SupportTeam name, opening hours, phonesupport@support@

The address names are examples. The point is that the choice follows the From address you send with, so a person who writes from a shared mailbox gets the shared signature, not their personal one.

How to add signature in Zoho Mail for replies

Replies have a switch of their own. In the settings, under Signature for replies, tick Add signature to all my email replies. Zoho says you can then choose where the signature goes when you reply: at the bottom of the composer, which is below the quoted text, or below the reply you just drafted, which is above the quoted text.

To use a different signature for replies, open the Associated From address(es) for the replies section. This is the section you use to set a default reply signature, and it is where the “Reply short” row in the table above is chosen.

If you leave the reply switch off, new emails can still carry a signature while replies go out without. That is a likely reason a Zoho signature seems to disappear after the first message of a thread.

How to add signature in Zoho Mail with an image

Zoho lists GIF, JPG, JPEG, BMP and PNG as the formats it takes. Use Insert Image to browse for the file, and the image options to hyperlink it. It does not give a file size limit, an image dimension, or a character cap for the signature, so we cannot give you numbers. Test with a small logo first.

Custom emojis cannot be added to a signature, Zoho says.

What the page does not cover

  • Mobile app steps. There are none on the page we read.
  • Size limits. None are stated.
  • How a Zoho signature looks in other mail apps. That depends on the recipient’s app.
  • Organisation-wide signatures. The page notes that if an administrator has configured a signature for your account, you cannot edit it. The admin side is a different feature, covered in Zoho Mail organization signature.

A design to start from

Zoho’s editor is happy with a simple, table-built signature. Here is one drawn by emailfooter:

Aligned layout. The company and person are made up.

When the signature does not show

  1. Wrong From address. The signature follows the address. Check it against the Associated From address(es) for new emails list.
  2. Replies only. The reply switch is off, or the reply section has nothing selected.
  3. Plain text composer. Switch the message to rich text.
  4. An administrator’s signature. If one is set for your account, Zoho says you cannot edit it.
  5. Two copies. If you also paste one by hand, delete the extra.

Teams on Zoho

When ten people each build their own, the logo sizes and phone formats drift. emailfooter keeps one company design in WordPress, lets each person fill in their own details, and gives them steps for Zoho among its 16 mail apps. It does not write into Zoho for them. Each person still follows how to add signature in Zoho Mail themselves, and it is English-only for now.
