To set a Zoho Mail organization signature, an admin or super admin opens the Admin Console, goes to Organization, then Signature Template, clicks Configure template, chooses the placeholders, adds any fixed text or links, and clicks Save. Zoho says the result cannot be overwritten by signatures that users configure for themselves. These steps follow Zoho’s Admin Console help for organization settings and user settings, plus its Signatures page, all read on 5 October 2026.
Zoho Mail organization signature, in short
- Admin Console, then Organization, then Signature Template.
- Click Configure template and pick placeholders (User Profile, Zoho People, Custom Field).
- Add fixed text or links, then click Save.
- For one person, use Users, then the user, then Mailbox Settings, then Signature.
- Zoho says the feature is for organizations on a paid plan.
Two kinds of Zoho Mail organization signature
Zoho gives admins two routes, and they behave differently.
- The signature template. One layout for the whole organization. Details such as name and phone are filled in per person from placeholders.
- A signature for one user. You write it by hand for a named person and map it to that person’s addresses.
Use the template when you want a uniform look and the details already live in user profiles. Use the per-user route for exceptions, such as a shared mailbox owner or an executive with a longer block.
Neither route is the same as the personal signature a user makes under their own Settings. That one is covered in our guide to adding a signature in Zoho Mail. Zoho’s Signatures page says that when an administrator has configured a signature for your account, you cannot edit it, and that you cannot attach a new signature to the address that carries the admin one.
Steps for a Zoho Mail organization signature
Zoho’s organization settings page says the admins and the super admins can configure a signature template. The steps:
- Log in to the Admin Console.
- Go to Organization, then Signature Template.
- Click Configure template.
- Name the signature and select the placeholders you want to apply.
- Add any text or website links you want in every signature.
- Click Save.
The page says the signature built from the template is added for all users in the organization, and that this feature is available only for organizations using a paid plan. It does not name which plans. If the menu entry is missing for you, check your plan and your admin role before you look anywhere else.
Which fields a Zoho Mail organization signature fills in
Placeholders come in three groups on Zoho’s page:
| Placeholder group | What Zoho says it does |
|---|---|
| User Profile | Photos, Name, Email Address, Location Name, Phone and Address are populated from the user’s Zoho Mail profile. |
| Zoho People | Values appear only if the user’s Zoho People fields have been updated. |
| Custom Field | Lets you add other user information that is already available. |
The practical lesson: a template is only as good as the profiles behind it. If a profile has no phone number, ask what you want the signature to show instead. The page does not say what the template does with an empty value, so build one test user with a blank field and look at the result before you roll it out.
The page also leaves out how the signature displays in an email, whether you get a preview before saving, and how to edit or delete a template later. We list those gaps rather than guess at them.
A Zoho Mail organization signature for one user
For a single person, Zoho’s user settings page gives these steps:
- Log in to the Admin Console.
- Go to Users and select the person.
- Choose Mailbox Settings, then Signature.
- Click Add new signature to open the composer.
- Enter a signature name and the content.
- Use the button in the Associated email addresses column to link the signature to one or more of that person’s aliases.
- Click Add.
Zoho says one signature can be mapped to several aliases of the same user, and that users cannot edit or change the associated addresses of a signature an admin created. If the signature does not show when someone composes, the page points you to the mapping under Associated Email Address for that user.
A Zoho community post on the signature template adds the use cases: a predefined format with the company logo, the user’s designation and mandatory disclaimers, applied across all users, and a user-specific signature associated with all of a user’s aliases (Zoho Mail help community). Treat the community post as the intent, and the help pages above as the steps.
What users see, and what they cannot change
Zoho’s Signatures page says an admin-assigned signature is shown with a lock icon. That page is the only one of the three that mentions the icon; the organization settings page does not. So you will see the lock from the user’s side, not from a screen in the Admin Console.
What people can still do, from the same page: create their own signatures for addresses that have no admin signature. What they cannot: edit the locked one, or associate another signature with its address.
Before you roll out a Zoho Mail organization signature
A short checklist, in the order that saves rework:
- Fix the profile data first: names spelled the way you want them, phones in international format, photos at a sensible size.
- Decide the fixed text: legal line, website, any required notice. Get the wording approved elsewhere, because Zoho’s page gives no legal guidance. This is general information, not legal advice.
- Create the template, then add yourself as the test user.
- Send a message from the main address and from an alias.
- Open both messages in a second mail app and on a phone.
- Tell staff the signature is locked, so they stop pasting their own copy underneath.
Point 6 matters more than it sounds. Because the user cannot edit an admin signature, a pasted second one sits in the body and you get two blocks.
Drawing the design before you configure it
Zoho’s template editor is where the final signature is built, so the design decisions come first. Here is a layout with a company notice line, drawn by emailfooter, to show the kind of block a template could produce:
|
Executive layout. The company and person are made up.
If you want one source of truth for the design that sits outside any one mail host, emailfooter keeps the company layout in WordPress and gives each person steps for Zoho among its 16 mail apps. It does not write into Zoho for anyone, and it has no connection to Zoho’s template. You would use it to decide and test the look, then rebuild the same fields in Zoho. It is English-only for now. Admins on other platforms can compare the equivalents for Microsoft 365 and Google Workspace.
When the Zoho Mail organization signature does not appear
- No admin or super admin rights. The page names those two roles as able to configure the template.
- Plan. Zoho says paid plans only.
- Empty profile fields. Placeholders only show what the profile holds.
- Alias not mapped. For a per-user signature, check Associated Email Address.
- Plain text composer. Zoho’s Signatures page says formatting, including images and hyperlinks, is not displayed when composing in plain text.
- User pasted their own. Ask them to remove it.
What Zoho’s pages do not say
- Character limits for the template, and whether the admin composer takes HTML.
- Which exact paid plans include the template.
- What the template does with a missing profile field.
- Whether an admin signature also goes on replies. The reply setting is explained for personal signatures only.
- How to edit or remove a template after saving.
For decisions that depend on these, test, or ask Zoho support. More on the wider topic is in our overview of company email signatures.
