You only need a Zoho email signature generator alternative if you are signing for a whole team, because for one person the free Zoho Toolkit tool does the job in a few minutes. It gives you four templates, optional fields and a copy button, so a Zoho email signature generator alternative adds nothing for a solo user. What it does not describe is any way to hold one design for many people, and that gap is where a team-wide tool such as emailfooter comes in.
We make emailfooter, which gives us a stake in the answer. Each Zoho fact below was taken from Zoho’s own pages in October 2026, and we say plainly where emailfooter falls short. Anything we could not find on Zoho’s pages stays out.
Zoho email signature generator alternative: the short version
- Zoho Toolkit is free. Its page says there is no charge and no cap on how many signatures you make, and the tool opened for us without signing in.
- It is built for one signature at a time. Four templates, optional fields, and two ways to copy the result. The page does not describe team features.
- A Zoho email signature generator alternative for teams keeps one design, locks the logo, colours and legal line, and gives each person their own details to fill in.
- emailfooter is that kind of tool, free on your own WordPress site. Each employee still installs their own signature.
What the Zoho Toolkit signature generator does
Zoho’s email signature generator page, read in October 2026, describes a free tool inside Zoho Toolkit, a set of admin utilities that also includes DNS and domain lookups. It says there are four pre-built templates. The fields it lists are name, position, email address, profile picture, organization name, designation, phone number, address, website link and social media handles. It says none of the fields are mandatory.
To use the result, the page gives two options. You can copy the whole signature and paste it into the email composer, or copy it as HTML code and paste that into your mail app’s signature area. The FAQ answers its own “Should I pay?” question with a plain no, and says you can make as many signatures as you need.
We also opened the tool itself, which the page links to from its Create an email signature buttons. It loaded with sample data and no sign-in. The inputs we saw were:
| Group | Fields in the tool |
|---|---|
| Person | First Name, Last Name, Email Address, Designation, Phone Number |
| Company | Organization Name, Address, Website Link |
| Picture | Display Picture Link |
| Social | Facebook, Twitter, Instagram, LinkedIn and YouTube links |
| Legal | Disclaimer |
Below the preview there are two buttons, Copy and Copy HTML code. A note in the tool says your signature is not saved anywhere, and that refreshing the page returns the values to their defaults.
Where the free Zoho Toolkit generator stops
None of the following is a fault. It is simply what a one-person generator is, and it is worth knowing before you ask a team to use it.
- No team layer. The page does not mention accounts, roles or shared templates. If ten people each use the tool, you get ten signatures, and nothing keeps their logos, colours or disclaimers the same.
- Nothing is kept. The in-tool note says the signature is not saved, and values reset on refresh. Zoho’s FAQ also talks about designing and saving multiple signatures. We took the note inside the tool as the safe reading: copy the HTML before you close the tab and keep it somewhere you can find it.
- Pictures are links. The picture field is labelled Display Picture Link, which suggests you supply a web address for the image. The page’s FAQ advises logos within 300 by 100 pixels, as a PNG under 2 MB. So the image has to live somewhere first.
- Four layouts. That is plenty for an individual and a limit for a company with several brands or departments.
- Updating is manual. When your title changes, you open the tool, rebuild and paste again. The same is true for everyone else on the team.
If you use Zoho Mail itself, our guide to adding a signature in Zoho Mail shows where the HTML goes. Zoho Mail also has a separate organisation signature setting for admins, which is a different feature from this generator. Our guide to the Zoho Mail organization signature covers it, and this article stays with the Toolkit tool.
Is emailfooter a good Zoho email signature generator alternative?
emailfooter is open-source software from Ulrea that runs as a WordPress plugin. One person, the company admin, picks a layout (there are ten, with 24 colour themes), adds the logo and an optional legal footer, and sends invitations. Staff accept, fill in only their own details, check the live preview in light and dark, and get numbered steps for their mail app. Install steps exist for 16 mail apps, Zoho among them.
As a Zoho email signature generator alternative, it trades the speed of a no-login tool for control. You need a WordPress site, or emailfooter Managed, where we host the same software and quote a price on request. Setup takes some work too, including outgoing email so invitations can be sent.

Where Zoho Toolkit is the better choice
This part matters, because a Zoho email signature generator alternative is not always the right move:
- You are one person. Open the tool, fill it in, copy, done. There is nothing to host or sign up for.
- You want it today. emailfooter needs a WordPress site and some setup. Zoho’s tool needs a browser tab.
- You want to see the HTML. The Copy HTML code button is right there if you plan to edit it by hand.
- Your team is tiny and informal. Three people who trust one another’s taste may not need a locked design.
- You already live in Zoho. The Toolkit sits next to Zoho’s other utilities, and its output is made to paste into a signature box.
Where emailfooter is the better Zoho email signature generator alternative
- One design for everyone. The admin sets the logo, colours, fonts and legal footer. Employees fill in only their own details.
- A record of who is done. Analytics count copies and install starts by day, mail app and person. They do not count clicks, and we would not claim they do.
- Install help per app. Each person picks their mail app and gets steps for it, including the mobile apps that only take plain text.
- No per-person fee. Adding a thirty-first employee costs nothing beyond what your host already charges.
- Agencies. With Agency mode switched on, one install can hold many client companies, each with its own design.
The cost is manual work. emailfooter does not push signatures into mailboxes, does not sync a directory, and does not change a signature after someone has pasted it. If the title changes, that person installs the new one.
Five checks before you pick a Zoho email signature generator alternative
Run through these in order:
- How many people sign emails? One or two: stay with the free generator. Six or more: shared control starts to pay off.
- Must the logo and legal line be identical? If a client contract or regulator expects it, you want a locked design, not four templates and trust.
- Where will the pictures live? With a link-based picture field, someone has to host the logo. In emailfooter you upload it once for the company.
- Where is the master copy? If the tool does not save your signature, the HTML you copied is the master. Decide who keeps it.
- Who tells staff when it changes? With either tool, people paste the new version themselves. Decide how you will ask, and how you will check.

A Zoho email signature generator alternative is only worth the setup when a team’s signatures have to match. Until then, Zoho’s free tool is a good place to start.
Frequently asked questions

Yes. Zoho’s page says there is no charge and no limit on how many you create. It opened for us without a sign-in, and the in-tool note says it does not save your signature.
How many templates does the Zoho Toolkit generator have?
Four pre-built templates, according to Zoho’s page in October 2026. None of the fields are mandatory.
Is there a free Zoho email signature generator alternative for a whole company?

Can I use the Zoho signature in Gmail or Outlook?
Zoho’s page describes copying the signature or the HTML code to paste into a signature box. The exact menu names differ by app, so follow your mail app’s own help page, or our install guides.
How is a Zoho email signature generator alternative different from Zoho Mail’s own signatures?
Zoho Mail has its own signature settings, including an organisation signature for admins, which our Zoho Mail guide covers. The Toolkit generator is a separate, standalone tool, and a Zoho email signature generator alternative like emailfooter works with any mail app.
