Google Workspace for small business in Africa: costs, setup and alternatives

Google Workspace for small business in Africa: the euro prices on Google’s page, how African cards pay, the DNS and MX setup steps, and cheaper options.

Google Workspace for small business starts, on Google’s pricing page in October 2026, at €6.80 per user per month for Business Starter. New customers see €6.12 for the first 20 users for 12 months. The page showed euros when we opened it, and Google says the currencies you can pay in depend on the country you choose when you set up billing.

This look at Google Workspace for small business uses Google’s pricing page and its admin help pages, all read in October 2026. Prices change and may differ by region, so treat every figure here as a snapshot and check the page before you buy. The arithmetic on those prices is ours.

Google Workspace for small business in Africa, in brief

  • Price. Starter is €6.80, Standard €13.60 and Plus €21.10 per user per month on Google’s page, shown in euros. A 14-day trial is offered.
  • Payment. Google’s chart lists US dollars or euros and a credit or debit card for South Africa and for the other African countries. Prepaid cards and customer-initiated bank transfers are not accepted.
  • Setup. You need a domain you own. Verify it with a TXT record, add one MX record, create users, then add SPF.
  • Cheaper routes. Zoho Mail has a free plan for up to 5 users, and web-hosting email costs whatever your host charges.

What Google Workspace for small business costs

Google’s pricing page lists these plans, with the monthly price per user and the euro currency it showed us:

Business Starter€6.80€6.1230 GB pooled per person100 participants
Business Standard€13.60€12.242 TB per person150 participants
Business Plus€21.10none shown5 TB per person500 participants
EnterpriseTalk to salesnone5 TB or more1,000 participants

The page’s fine print says all plans are billed monthly and that an annual toggle saves 16 percent with a one-year commitment. The new-customer offer applies to the first 20 users added and lasts 12 months. Starter, Standard and Plus can be bought for up to 300 users.

As simple arithmetic at the standard Starter price, 5 users cost €34 a month, 10 users €68 and 25 users €170. With the introductory price, 10 users would be €61.20 a month for the first year. Those totals exclude any tax or card fees.

How African cards pay for Google Workspace for small business

Money is often the harder part of Google Workspace for small business in Africa, so read Google’s payment options page before you start. It says:

  • Google accepts major credit cards, including Visa, Mastercard and American Express. Where you can pay is determined by the country you chose when you first set up the billing account.
  • In the Africa chart, South Africa shows US dollars and euros with a credit or debit card. The row for the other African countries shows the same.
  • Some payment types are not accepted in any country, including prepaid credit or debit cards, customer-initiated bank transfers, virtual credit cards, Western Union and MoneyGram.
  • Wire transfers are possible only on an invoiced billing account, and Google’s separate page says some businesses can qualify for one.

So before you sign up, ask your bank whether your card allows online payments in dollars or euros, and whether it is a standard debit or credit card rather than a prepaid or virtual one. If a card is declined, that is the first thing to check. Rates move, so the naira, cedi or shilling amount on your statement will differ from month to month.

Google Workspace for small business: setup for a domain email address

These steps for Google Workspace for small business follow Google’s help pages, read in October 2026. You need a domain you own. Our guide to the .co.za domain or the .ng domain will help if you are still choosing one.

  1. Sign up. Google’s sign-up page asks for your business domain, a personal user name for the first account, and a recovery email address that is not in your domain. You do not need to transfer the domain to Google. If you have no domain, Google says it can help you buy one during sign-up.
  2. Verify the domain. Google’s verification page points you to the Google Workspace setup tool, which gives a code to add as a TXT record at your registrar. It says adding the record takes about 10 minutes and confirmation can take up to an hour. You must verify within the first 9 days of the trial or when you start a paid contract, or the account can be deleted.
  3. Add the MX record. On Google’s MX page, the record has a blank name or @, priority 1 and the value smtp.google.com. Google says to remove any other MX records, and that recognition can take up to 72 hours. Then, in the Admin console, go to Menu, Account, Domains, Manage domains and choose Activate Gmail.
  4. Create users. On the add a user page, the path is Menu, Directory, Users, Add new user. You can copy the password or use Preview And Send. Google says it can take up to 24 hours for services to reach a new user.
  5. Add SPF. Google’s SPF page gives a TXT record of v=spf1 include:_spf.google.com ~all if Google is the only service that sends your mail, and says it can take up to 48 hours to work. It recommends DKIM and DMARC as well. Our guide to SPF and DKIM for a small business explains them.

Create the users before you change the MX record, so nobody’s mail bounces during the switch. The wider business email setup guide for Africa sets this out step by step for all providers.

Signatures on Google Workspace for small business teams

Google’s help page on signatures gives admins one native option. Under Menu, Apps, Google Workspace, Gmail, Compliance, an Append footer rule adds a text footer to everyone’s mail, and users cannot change it. Google puts the delay for footer changes at up to 24 hours. People can also write their own signatures of up to 10,000 characters, and images from Google Drive must be publicly shared to display.

That covers a legal line, but not a designed signature with a logo and a phone number per person. Our guide to setting a signature for all users in Google Workspace compares the routes, and the roundup of the best email signature software for Google Workspace covers paid tools. emailfooter is a free option: the admin designs one signature, and each person pastes their own into Gmail by following steps. It does not push signatures into mailboxes for them.

Here is the kind of signature a footer cannot produce, drawn by emailfooter’s engine: a logo and a direct phone number for each person, on top of the company’s fixed design.

When Google Workspace for small business is not the right fit

Google Workspace suits a team that lives in Gmail, Calendar, Drive and Meet. It is harder to justify when you have one to five people and no budget for a monthly bill in a foreign currency. Compare it with these, using the prices each vendor’s page showed in October 2026. They are not converted, because currencies and rates differ.
