Free business email address: what is truly free and what is not

A free business email address, checked against provider pages: Zoho’s free plan, forwarding, hosting email, and the point where paying makes sense.

A free business email address on your own domain is possible, but not all of it is free. The domain always costs money, and the free mailbox plans come with limits. Of the providers we checked in October 2026, Zoho Mail’s free plan is the one that offers a hosted mailbox on your own domain at no charge: up to 5 users, one domain and 5 GB each.

This article sorts every free business email address offer into what is free, what is only a trial, and what you pay for somewhere else. Every limit comes from the provider’s own page, read in October 2026. Plans and regional availability change, so confirm before you move your mail.

Free business email address, in brief

  • Free mailbox on your domain: Zoho Mail’s free plan. Up to 5 users, one domain, 5 GB each. IMAP, POP and ActiveSync are not included, and it is available only in select data centres.
  • Free forwarding: Cloudflare Email Routing is available on its free plan and routes incoming mail to an address you already have. It needs your domain’s DNS on Cloudflare.
  • Not free: the domain itself, and Google Workspace or Microsoft 365 after their trials.
  • Closing soon: Gmail’s “Send as” for third-party addresses ends in January 2027, which affects a common free workaround.

What counts as a free business email address

Several different offers get called free. They are not the same thing:

OfferWhat is freeWhat it does not give you
Zoho Mail free planA mailbox on your domain for up to 5 users, 5 GB eachIMAP, POP and ActiveSync. Only in select data centres
Cloudflare Email RoutingForwarding of incoming mail from your domain to another inboxA mailbox. Sending is a separate problem
Email bundled with web hostingMailboxes in cPanel’s Email Accounts, with webmailA zero bill. You pay for the hosting, and the host sets the quotas
Google Workspace trial14 daysAnything after day 14
Microsoft 365 trialOne month, per Microsoft’s pricing pageAnything after the trial. It converts to paid unless you cancel
A Gmail or Outlook.com addressA free mailboxYour own domain. It is not a business email address on your name

The last row matters for how you look. An address on a free mail service shows the provider’s name after the @. Our comparison of Gmail with business email explains when that is fine and when it costs you trust.

The domain is the part that is never free

Every address on your own name needs a domain, and registrars charge for it. The price depends on the ending and the seller. NiRA’s pages say its registrars set fees, and ZADNA says there is no standard fee for .za and that you normally pay a registration fee and then renew each year. So the true minimum cost of a free business email address is the domain, renewed every year, in your local currency. Our guides to the .ng domain and the .co.za domain show who sets the price in each case, and the overview of how to choose a business domain name in Africa covers the rest.

Set a calendar reminder for renewal. When a domain lapses, the email on it stops with it, and no free plan changes that.

Zoho Mail’s free business email address plan, and its gaps

Zoho’s pricing page describes its forever free plan as email hosting for one domain for up to 5 users, with 5 GB of mail storage per user, and states that IMAP, POP and ActiveSync are not included. It marks the plan as available only in select data centres, so you cannot assume it is offered in your region. Check this on sign-up before you plan around it.

Those missing protocols are what many desktop and phone mail apps use to connect. If your team wants Outlook or Apple Mail on a laptop, test one account first. Zoho’s pricing page lists paid plans for more, such as Mail Lite at ₦770 per user per month, billed annually, with no monthly plan. That price was shown in naira when we opened the page, and Zoho says local taxes are extra.

To use the free plan on a domain, Zoho’s help pages say you add the domain in the Admin Console, prove ownership with a TXT or CNAME record, then point the MX records at Zoho and create the addresses. It says verification can take an hour or two, and that without access to the domain’s DNS you cannot host email on it. Our full write-up on Zoho Mail for a small business follows the steps, and the pillar guide to business email setup in Africa does the same for every provider.

The Gmail workaround is ending

A popular trick to get a free business email address is to forward your domain’s mail to a Gmail inbox, then answer from Gmail using its “Send mail as” setting so replies show your domain. Google’s help page now carries a warning: starting January 2027, Gmail will no longer support “Send as” for third-party email addresses, and it names @yahoo.com and @outlook.com as examples.

Google’s separate page on the change says the discontinuation applies to non-Google accounts, and that “Send as” for Gmail and Google Workspace addresses is not affected. It lists the options as using the provider’s own website or app, a desktop mail client, or the Gmail app on Android or iPhone, and it names Google Workspace for a custom domain as one route. A domain address hosted outside Google is a non-Google account on that wording, so plan for the trick to stop working. This is our reading, so confirm with Google if you rely on it.

Forwarding itself is unaffected. Cloudflare’s documentation says Email Routing is available on free and paid plans, routes incoming mail to addresses you choose, and needs you to use Cloudflare DNS. It adds MX, SPF and DKIM records for you. It does not turn the domain into a mailbox you can send from.

When a free business email address stops being enough

Move to a paid plan when any of these is true:

  • You have more than five people who need mailboxes.
  • Your team needs desktop mail apps or phone sync that the free plan lacks.
  • Mail goes missing or gets stuck and you want a support route. Check what support your plan includes before you depend on it.
  • You send quotes, invoices or tenders, and one lost message costs more than a year of fees.

Then compare the prices on the vendors’ pages. On Google’s page in October 2026, Business Starter was €6.80 per user per month, and on Microsoft’s page Exchange Online Plan 1 was $4.00, paid yearly. They are in different currencies and are not converted here. Our guides to Google Workspace for a small business and Microsoft 365 business email cover each.

Make a free business email address look professional

An address on your own domain is half of the job. The other half is the signature underneath it. A signature should name the person, the role and the company, with a phone number in international format. The business email address format guide helps you choose the part before the @.

A compact layout on an address at the company’s own domain. The company and person are made up.

emailfooter is a free WordPress plugin that draws signatures like this one. The admin designs it once and each person pastes it into their mail app by following steps. It does not install signatures for you, it is English only for now, and you host it on WordPress or use emailfooter Managed. For Zoho, the guide to adding a signature in Zoho Mail lists the steps.

Frequently asked questions

Can I get a free business email address with my own domain?

Yes, with limits, and the free business email address still needs a paid domain. On its pricing page in October 2026, Zoho Mail offered a free plan for one domain and up to 5 users, with 5 GB each. You still pay a registrar for the domain.

Is a free Gmail address a business email address?

It is a free address, but it does not use your domain. A business email address uses your own name after the @, for example name@yourcompany.com.

Can I use Outlook with the Zoho Mail free plan?

Zoho’s pricing page says IMAP, POP and ActiveSync are not included in the free plan. Test one account before you move the team.

Is Google Workspace free for a small business?

We found no free plan on Google’s pricing page. It offers a 14-day trial, then the paid plans start at €6.80 per user per month in the euro prices we saw.

Can I forward my domain’s email to Gmail for free?

Cloudflare Email Routing can forward incoming mail on its free plan if your domain uses Cloudflare DNS. Replying as your domain from Gmail depends on “Send as”, which Google says ends for third-party addresses in January 2027.
