There is no single best email signature software for teams. There is a best fit for your mail platform, your headcount, your tolerance for manual work and your budget. This article lines up eight tools, Exclaimer, CodeTwo, Letsignit, Opensense, SignatureSatori, Bybrand, Signitic and emailfooter, using only what each vendor’s own site said when we read it in October 2026.
We make emailfooter, so one of the eight is ours. We have tried to treat it like the others: the same questions, the same dating, and plain statements about what it does not do. If a fact was not on a vendor’s pages, it is not here. Prices change, so use the vendor’s page for the current figure.
The short version
- The best email signature software for teams depends on your mail platform first, then headcount and budget.
- Want signatures applied automatically? Look at Exclaimer, CodeTwo, Letsignit, Opensense, SignatureSatori, Bybrand or Signitic. Pick by platform first: Microsoft 365, Google Workspace or both.
- Small team, tight budget? Signitic lists a free plan for fewer than 20 employees. Bybrand and SignatureSatori have low entry prices. emailfooter is free if you host it, but employees install their own signature.
- Watch the minimums. Exclaimer lists a ten-user minimum, Signitic’s paid plan 20 licences, SignatureSatori five users, and Opensense a $500 monthly minimum.
How we compared them
Choosing the best email signature software for teams comes down to three questions, and they decided the columns:
- Which mail platform does it support? A tool built for Microsoft 365 is a poor fit for a Gmail company, and the reverse.
- How does the signature reach the email? Either the vendor’s service adds it, or an Outlook add-in or Gmail connection does, or each person pastes it.
- What does it cost, and what is the catch? Per-user price, minimums, billing terms.
We did not rank the tools, because the right answer depends on your platform and size. We tell you which situation each one suits.

What each vendor says, and where it fits
Exclaimer
Exclaimer’s pricing page lists Starter, Standard and Pro, plus a custom Enterprise plan. It says every package can be deployed server-side, client-side or both, and that directory sync from Azure Active Directory or Google Directory is included on all three. Standard adds unlimited templates and scheduled campaigns, and Pro adds an engagement dashboard and HRIS integration. Its FAQ states a ten-user minimum. Choose it if you want the widest platform coverage and campaigns. Our Exclaimer alternative article goes through its pricing in detail.
CodeTwo
CodeTwo describes a cloud service for Microsoft 365 that adds signatures after the email is sent, or through an Outlook add-in, or both. Its pricing page says there is one plan with every feature, and its calculator reads out a per-user price that falls as the user count rises. Microsoft 365 companies that want depth are its natural audience. See the CodeTwo alternative comparison for the full reading.
Letsignit
Letsignit’s pricing page lists signatures and vCards at $2 per user per month, a slides product at the same price, a combined platform, and a custom Enterprise plan. It says plans are annual subscriptions, that users added mid-term are billed pro rata, and that the product works with Microsoft 365, Google Workspace and CRM. Its home page describes an Outlook add-in that deploys without user installation. Microsoft-centred teams that also want digital business cards are its audience.
Opensense
Opensense lists three signature plans, at $1, $3 and $5 per user per month, and each plan carries a “$500/month minimum” plus a service plan, with trials for qualified accounts. Its site says it works with Microsoft 365 and Google Workspace, either server-side, client-side or both, and ties closely to HubSpot and other sales tools. At a small headcount, the minimum dominates the price. Larger organisations that want sales integrations, or Microsoft 365 GCC High support (which its site states), are its audience.
SignatureSatori
SignatureSatori describes itself as a signature tool for Gmail. It offers a credit plan, where one credit sets or changes one signature for one user and holds for 24 hours, and a subscription for frequent changes, with daily sync from Google Directory. Its pricing page says it uses the Gmail API with no change to email flow. Google Workspace teams who change signatures a few times a year are the match.
Bybrand
Bybrand’s pricing page shows a base plan of $8 a month for up to 10 signatures, then $0.80 for each extra signature made by hand, or $0.50 for each employee synced through its automation. It lists Google Workspace and Microsoft Entra ID integrations. It offers a 14-day trial with no card. Small teams that want a low entry price are the match.
Signitic
Signitic’s pricing page lists a free plan for up to 19 employees, with one template, one banner campaign and a Signitic badge at the bottom of the signature, and a paid plan at €1 per user with a minimum of 20 licences. The page does not state whether the paid price is monthly or yearly in the text we read, so check before budgeting. It describes itself as a solution for Google Workspace and Microsoft 365. Companies just under or just over 20 people are the match.
emailfooter
emailfooter is a free WordPress plugin, released under the GPL and made by Ulrea. The admin designs one signature (ten layouts, 24 colour themes, a logo and a legal footer), and each employee accepts an invitation, edits only their own details and follows numbered steps for one of 16 mail apps. It has no connection to Microsoft 365 or Google Workspace, no directory sync, no campaigns and no click tracking, and it is English only for now. Teams that want consistency without paying per user, and can accept manual installs, are the match. If you would rather not run a site, emailfooter Managed is the same software hosted by us, priced on request.

Monthly cost for 25 people, from the published prices
To make the prices comparable, here is the arithmetic for a 25-person company. These are our calculations from each vendor’s published figures, before tax, and the billing terms differ, so treat them as a rough guide only.
| Tool | Basis | Roughly per month |
|---|---|---|
| Exclaimer Starter | 25 × $0.90, billed annually | $22.50 |
| CodeTwo | Calculator: $367.20 a year for 25 users | $30.60 |
| Letsignit | 25 × $2, annual subscription | $50 |
| Opensense | 25 × $1 would be $25, but a $500 monthly minimum applies, plus a service plan | $500 or more |
| SignatureSatori | 25 × $1.11 | $27.75 |
| Bybrand | $8 base + 15 extra × $0.80 by hand, or $8 + 25 × $0.50 with automation | $20 to $20.50 |
| Signitic | Over the free limit of 19 employees. Paid price listed as €1 per user, period not stated | Check the page |
| emailfooter | Plugin free. Hosting and domain are extra | $0 for the plugin |
Cheap is not the same as right. A $20 tool that does not support your mail platform costs more than a $50 one that does. And the free option costs staff time instead of money.
How to choose the best email signature software for teams
- Start with your platform. For Microsoft 365, CodeTwo is built for it, and Exclaimer, Letsignit, Opensense and Signitic also list it. For Google Workspace, SignatureSatori is built around it, and Exclaimer, Letsignit, Opensense, Signitic and Bybrand also list it.
- Decide whether you must have automation. If a regulator or a client contract needs the same notice on every message, avoid manual installs. Our guide to centralised signature management explains the options.
- Count your headcount against the minimums. Under 20 people, Signitic’s free plan and Bybrand’s base plan are worth a look. Over 100, the per-user differences add up.
- Ask what you leave behind. Ask each vendor what happens to signatures if you stop paying.
- Run the trial on messy cases. Test a reply, a forward and a message from a phone.
If you are still unsure which is the best email signature software for teams like yours, start with the platform and the minimums. Frequently asked questions
What is the best email signature software for teams?
It depends on your mail platform and headcount. Exclaimer lists support for Google Workspace, Microsoft 365 and Exchange. CodeTwo is built for Microsoft 365. SignatureSatori is built around Gmail. For a free option, Signitic lists a free plan up to 19 employees, and emailfooter is free if you host it.
Is there free email signature software for a team?
Signitic’s pricing page lists a free plan for up to 19 employees, with a Signitic badge on the signature. emailfooter is free to use, but you host it, and staff install their own signatures.
How much does email signature software cost per user?
From the pricing pages we read in October 2026, published entry-level figures ranged from $0.50 to $2 per user per month, with some vendors adding minimums. Opensense’s lowest plan is $1 per user but carries a $500 monthly minimum.
Do I need software to manage email signatures?
Not always. A small team can agree on one design and paste it in. Software earns its keep when you need signatures applied automatically, kept in line with a directory, or enforced on every message.
Does emailfooter automatically install signatures?
No. Each employee installs their own signature by following steps for their mail app. If you need automatic installation, use one of the other seven tools.
