Exclaimer alternative: when a plugin is enough and when you need Exclaimer

An Exclaimer alternative compared fairly: Exclaimer’s server-side service and public prices against emailfooter’s free plugin, with who each one suits.

An Exclaimer alternative is worth looking at when you like what Exclaimer does but not what it costs, or when you have a small team and a larger tool feels like too much. The honest summary is that Exclaimer and emailfooter are built on different ideas. Exclaimer applies signatures to mail on the server, so staff do nothing. emailfooter gives every employee a shared design and a set of steps, and they install it themselves.

We make emailfooter, so read this Exclaimer alternative comparison as written from one side. Every statement about Exclaimer below comes from Exclaimer’s own website, opened in October 2026 and dated. Where a fact was not on its pages, we left it out.

Exclaimer alternative: the short version

  • Pick Exclaimer if you need signatures applied automatically to every email from every device, synced from Microsoft 365 or Google Workspace, with campaigns and reporting.
  • Pick emailfooter if you want a free tool you host yourself and you accept that each person installs their own signature.
  • On Exclaimer’s pricing page in October 2026, plans are $0.90, $1.45 and $1.75 per user per month, billed annually, with a ten-user minimum.

What Exclaimer does, from its own pages

Exclaimer’s home page in October 2026 describes consistent, compliant email signatures for a whole company, deployed “with just one click”. It names three platforms: Google Workspace, Microsoft 365 and Microsoft Exchange. It says contact details can be synced from Azure Active Directory or Google Directory, that non-IT teams can manage signature design with role-based access, and that signatures can be applied to email sent from any device. It describes 80,000+ businesses as customers, which is its own claim.

The key technical idea is on its pricing page, under deployment. Exclaimer says all packages can be deployed server-side, client-side or both. Server-side means the signature is added when the email passes through the mail server, so it appears even when someone sends from a phone. Client-side means it is applied inside Outlook or Gmail.

Exclaimer also publishes a free signature generator. Its generator page says to design a signature, copy the HTML and paste it into Outlook or Gmail, and it points teams to the paid product to roll signatures out company-wide.

Exclaimer pricing, read in October 2026

On the Exclaimer pricing page (shown in US dollars, per user per month, billed annually):

PlanPriceWhat the page says it adds
Starter$0.90Central management, employee details kept in step with the directory, legal disclaimers, one template, directory sync
Standard$1.45Unlimited templates, different signatures per department, scheduled banners and campaigns, targeting rules, three brand kits
Pro$1.75Engagement dashboard, HRIS directory integration, audit log, unlimited brands, social feeds
EnterpriseCustomStandard or Pro plus a customer success manager and guided rollout

Other facts from the same page: there is a 14-day free trial, the FAQ gives the minimum user count as ten, and you can pay monthly or annually. Support is listed as 24/5, Monday to Friday. The page also lists certifications, including SOC 2 Type II and ISO/IEC 27001.

As simple arithmetic on those published prices, a 25-person company on Starter would be 25 × $0.90, or $22.50 a month, billed annually. That is our calculation, not a figure from the page, and it excludes taxes.

Is emailfooter a good Exclaimer alternative?

emailfooter is a free WordPress plugin, released under the GPL and made by Ulrea. The company admin designs the signature once, choosing from ten layouts and 24 colour themes, adding a logo and a legal footer. Employees accept an invitation, edit only their own details, and follow numbered steps to install the signature in their own mail app. There are guides for 16 mail apps.

It is a different kind of Exclaimer alternative from another managed SaaS tool. It does not sit in your mail flow. It does not connect to Microsoft 365 or Google Workspace. It does not read your directory. It gives people a consistent design and clear steps, and that is all.

If you would rather not run a site, emailfooter Managed is the same software hosted by us, priced on request.

Where Exclaimer is the better choice

An Exclaimer alternative is the wrong choice, and you should stay with Exclaimer or move to it, if any of these describe you:

  • Mail must carry a signature, always. If a regulator, a lawyer or a client contract requires the same disclaimer on every message, a server-side tool is the dependable way. A signature that people paste themselves can be missed or edited.
  • Staff send from phones a lot. Server-side deployment covers them without asking anyone to do anything.
  • You change details often. Titles, departments and phone numbers sync from your directory, so a promotion does not mean an email to the whole team asking them to re-paste.
  • You run campaigns. Banners, scheduling and an engagement dashboard are part of the product.
  • You want a vendor. Support, certifications and a service level are not something a self-hosted plugin gives you.

Where emailfooter is the better Exclaimer alternative

  • Small teams on a budget. At the ten-user minimum, Exclaimer’s cheapest plan works out at about $9 a month (our arithmetic on the published $0.90). That is modest. But a free plugin costs nothing to use, and the gap grows with headcount and plan level, although hosting is on you.
  • You want to own the data. Staff details are in your own WordPress database.
  • Agencies. Turn on Agency mode and run many client companies from one install, with your own branding.
  • You only need consistency. If the goal is that everyone’s signature looks the same, with the same logo, colours and legal line, a locked shared design does that.

The cost of this Exclaimer alternative is manual work. When the design changes, each person pastes the new one. Nothing alerts the admin if someone does not.

Two imagined scenarios

These are made-up examples, to show how the choice of an Exclaimer alternative tends to fall.

A 12-person design studio. Everyone uses Gmail or Outlook on a laptop, the logo and the colours are what matter, and there is no legal line. The studio already pays for a WordPress site. A shared design installed in an afternoon does the job, and an Exclaimer alternative that is free to use makes sense.

A 90-person firm with a regulated disclaimer. Staff send from phones and from shared mailboxes, titles change every quarter, and a compliance officer wants the notice on every message. Here the manual install is the weak point. A server-side service with directory sync, such as Exclaimer, removes that weak point, and its per-user price is the cost of doing so.

How to choose an Exclaimer alternative in five minutes

  1. Do you need signatures on every message, regardless of what staff do? Yes means Exclaimer or a similar server-side tool. See the software built for teams.
  2. Do you need directory sync? Yes means a managed tool.
  3. Can you accept staff installing their own signature? Yes, and you want it free, means emailfooter.
  4. Do you have a WordPress site? No means ask about Managed, or pick a hosted tool.

Frequently asked questions

Is there a free Exclaimer alternative?

emailfooter is free to use if you host it on WordPress. It gives a company one shared design, but staff install it themselves. Exclaimer has a 14-day trial and a free generator for single signatures.

How much does Exclaimer cost?

On its pricing page in October 2026, Exclaimer listed Starter at $0.90, Standard at $1.45 and Pro at $1.75 per user per month, billed annually, with custom pricing for Enterprise. Its FAQ gives a minimum of ten users. Check the page for current figures.

Is emailfooter an Exclaimer alternative that works the same way?

No. Exclaimer applies signatures through the mail system. emailfooter provides the design and the install steps, and each person pastes their signature into their own mail app.

Does Exclaimer work with Google Workspace?

Its home page lists Google Workspace, Microsoft 365 and Microsoft Exchange as supported platforms.

You can add a legal footer that appears under every signature. But it is only as reliable as the installs, because nothing forces people to use it. If a disclaimer is a hard requirement on every email, a server-side tool is safer.
