Choosing a CodeTwo alternative starts with a plain fact: CodeTwo Email Signatures 365 is built for Microsoft 365. It manages signatures from the cloud for everyone in your Microsoft 365 organisation. emailfooter, which we make, is a different kind of tool. It gives the company one shared design, and each employee installs it themselves in whichever mail app they use.
We make emailfooter, so read this CodeTwo alternative comparison as written from one side. Every statement about CodeTwo below comes from its own website, which we opened in October 2026. Prices and features change, so check its pages before you decide.
CodeTwo alternative: the short version
- Pick CodeTwo if you run Microsoft 365 and want signatures added automatically to every email, from any device, with Entra ID (Azure AD) data filling in the details.
- Pick emailfooter if you want a free tool you host yourself, you use a mix of mail apps, and you accept that each person installs their own signature.
- CodeTwo’s pricing page in October 2026 shows one plan with all features, from about $1.11 to $1.22 per user per month on yearly billing in its calculator, depending on user count.
What CodeTwo does, from its own pages
On its product page in October 2026, CodeTwo describes Email Signatures 365 as a cloud service for creating and managing signatures, legal disclaimers, automatic replies and marketing campaigns for all users in a Microsoft 365 organisation. It says the service works with all email apps and devices, including Windows, Mac, phones and tablets.
It offers two ways to add the signature. In the cloud mode, the signature is added after the email is sent, and CodeTwo says users can see a preview while composing in Outlook. In the Outlook mode, a CodeTwo add-in puts the signature in as users type, and the add-in is deployed from the Microsoft 365 admin center without end-user installation. You can use either mode or both.
Other features on the page:
- Signatures that use Microsoft Entra ID (Azure AD) attributes such as department and job title, with CodeTwo’s cache of those attributes refreshed every 20 minutes, by its description.
- Different signatures for internal and external mail, selected senders, recipients and language groups.
- Signatures placed under the reply, not at the bottom of a long thread.
- Delegation of signature management to non-IT staff.
- Marketing campaigns with URL tagging, one-click satisfaction surveys, and central management of automatic replies.
- A choice of data region, and ISO/IEC 27001 and 27018 compliance, which it states on the page.
The pages we opened describe Microsoft 365, and the home page lists a separate version for on-premises Exchange. They did not mention Google Workspace.
CodeTwo pricing, read in October 2026
Any CodeTwo alternative has to be judged against what CodeTwo charges, so here is its pricing page.
CodeTwo’s pricing page says it sells “one plan, all features”, with unlimited signature templates. The licence is a monthly or yearly subscription, with about 10 percent saved on yearly. There is a one-month minimum and a 14-day free trial that needs no credit card. Prices are shown without tax. A licence is assigned to each user, or shared mailbox, whose mail is processed by the service or who uses the add-in.
The page has a calculator. On 4 October 2026, with yearly billing and US dollars selected, it showed:
| Users | Total per year | Per user, per month |
|---|---|---|
| 10 | $146.88 | $1.22 |
| 25 | $367.20 | $1.22 |
| 50 | $726.25 | $1.21 |
| 100 | $1,328.40 | $1.11 |
The page says the more licences you select, the less you pay per user, and there is a quote option for larger numbers. Those are the calculator’s outputs, not a printed price list, so the current numbers on the live page are the ones that count.
Is emailfooter a good CodeTwo alternative?
emailfooter is a free WordPress plugin, released under the GPL and made by Ulrea. The company admin designs the signature once, with ten layouts and 24 colour themes, a logo and an optional legal footer. Employees accept an invitation, edit only their own details, and follow numbered steps to install the signature. There are guides for 16 mail apps, including Outlook, Gmail and Apple Mail.
It is a different kind of CodeTwo alternative from another cloud service. It does not touch your mail flow, does not connect to Microsoft 365 and does not read Entra ID. If an employee changes role, they update their own details and install the signature again.
If you would rather not run a site, emailfooter Managed is the same software hosted by us, priced on request.

Where CodeTwo is the better choice
A CodeTwo alternative is not always the right move. In these cases CodeTwo is the stronger fit:
- You live in Microsoft 365. If Outlook and Exchange Online carry all your mail, a tool made for that world fits cleanly.
- You want zero effort from staff. The add-in deploys from the admin center, and cloud signatures need nothing from users.
- You want signatures that follow the directory. When HR changes a job title in Entra ID, the signature follows.
- You need conditional signatures. Internal and external versions, per-language versions and signature-after-reply placement are part of the product.
- You need a vendor with a service. Support, data regions and certifications are things a plugin cannot give you.
emailfooter has none of the automatic parts. If your reason for looking at signature software is “I am tired of asking people to paste things,” stay with CodeTwo or a similar tool.
Where emailfooter is the better CodeTwo alternative
- A mixed environment. If some staff use Gmail, some Outlook and a few Apple Mail, the same design with per-app steps works for all of them.
- No per-user fee. The plugin itself costs nothing, whether you have 10 staff or 100.
- Ownership. The data stays on your own WordPress database.
- Agencies. Agency mode lets you run many client companies from one install.
- A short setup. There is no Microsoft 365 admin consent, no mail flow change and no add-in to deploy.
The trade-off is that the CodeTwo alternative here is manual: you save the fee and give up the automation.
What to test in the CodeTwo trial
If you do try CodeTwo’s 14-day trial before choosing a CodeTwo alternative, use it on the cases that decide the purchase, not on a single test email. From what its own pages describe, these are worth checking:
- A reply and a forward. The page says signatures are placed under your message, not at the bottom of the whole thread. Confirm that in your own mail.
- A message from a phone. It says cloud signatures apply to mail from any app or device.
- A shared mailbox. The licence rules say shared mailboxes count as licensed users, so see how that affects your count.
- An encrypted or signed message. It says Outlook signatures work with encrypted and digitally signed messages. If that matters to you, send one.
- Mail routing. The page says its relay technology sends mail through CodeTwo services on Azure. Ask your IT lead whether that fits your policies.
The same list is a fair test for any server-side service, including the ones in our email signature management software guide.
How to choose a CodeTwo alternative
- Are you on Microsoft 365? If yes and you want automation, CodeTwo is a serious option. See the comparison of Microsoft 365 signature software.
- Would you accept staff installing their own signature? If yes, emailfooter is enough.
- Do you need campaigns or surveys? If yes, pick a managed tool.
- Do you have a site to host a plugin? If not, ask about Managed, or pick a hosted tool.
