Move from Gmail to business email: a 7-step plan with a notice you can send

Move from Gmail to business email without losing mail or contacts: seven steps from Google’s own pages, a notice template, and what we could not confirm.

To move from Gmail to business email, you set up the new address first, copy your old mail across, forward new mail while people learn the change, and then tell your contacts. You cannot rename a free Gmail address into your own domain, so the old address keeps working beside the new one for a while. These steps follow Google’s, Zoho’s and Microsoft’s help pages, read on 5 October 2026, and where a page did not cover a case we say so.

If you are still deciding whether to switch, read Gmail vs business email first. This guide assumes you have chosen, and covers the move itself.

Move from Gmail to business email: 7 steps

  1. List every account and service that uses your Gmail address.
  2. Create the new mailbox on your own domain.
  3. Copy the old mail across with the provider’s import tool.
  4. Forward new Gmail messages to the new address.
  5. Switch on an auto-reply that names the new address.
  6. Move your contacts.
  7. Announce the change and update your accounts, one by one.

Why you cannot rename Gmail when you move from Gmail to business email

Google’s page on changing your Google Account email says an address ending in gmail.com may be changed only to another address ending in gmail.com. To switch to a non-Gmail address you would have to delete your Gmail service. The page adds that if you do not want to do that, you can add a non-Gmail address as an alternate email.

So the practical choice is to run both for a while. Do not delete the Gmail service until every account that depends on it has moved, because deleting it ends mail to that address.

How to move from Gmail to business email in 7 steps

Step 1: List what uses your Gmail address

When you move from Gmail to business email, the forgotten sign-ins cause the trouble. Open a notes file and list each service that sends you something important or uses the address to sign in: your domain registrar, bank, tax portal, suppliers, marketplaces, social profiles, payment tools, newsletters you pay for. This list is your own checklist, not a vendor’s. You will tick items off in step 7. Keep a second column for who needs to be told by hand, such as key clients.

Step 2: Create the new mailbox

To move from Gmail to business email you need a domain, a provider and a mailbox. Our business email setup guide for Africa covers the six setup steps, and Google Workspace for small business walks through that provider. Decide the name pattern before you create the first address; the business email address format article helps. Test the new mailbox by sending a message to and from it before you go further.

Step 3: Copy the old mail across

How you move from Gmail to business email at this step depends on where the new mailbox lives.

Google Workspace. Google’s data import page for a Gmail account, last updated 1 October 2026, describes an admin tool that copies email from a personal Gmail user into a Workspace user. A super administrator goes to Menu, Data, Data import & export, Data import, clicks Import for Gmail, and enters the source email address, then clicks Request authorization. The Gmail owner gets an email and must authorize the request; it expires after 24 hours. Then:

  1. Enter the target Workspace account. It must have a Workspace license and Gmail turned on.
  2. Optionally set a start date, and tick Import deleted emails, Import spam emails or Exclude specific labels.
  3. Click Start import. A delta import can later copy mail that arrived since.
  4. When it finishes, you can download the report and click Exit import. Google warns that once you exit, you can no longer reach the configuration or reports.

Google’s description covers email. It does not list contacts or calendar for this Gmail import, so handle contacts in step 6.

Zoho Mail. Zoho’s IMAP migration page, updated 20 August 2026, is titled for Gmail but written for Google Workspace accounts. In the admin console, Data Migration takes imap.gmail.com as the source server, and the page says to use a 16-digit app password from Google. It says the source password must not change until the migration finishes. Zoho’s import page separately describes importing EML files zipped together, up to 500 MB per ZIP, from Settings, Import/Export.

Microsoft 365. Microsoft’s IMAP migration page, dated March 2024, says IMAP migration moves email only, not calendar or contacts, and needs an app password for each Gmail account. It uses an IMAP migration endpoint and batch in the Exchange admin center. It is written around Google Workspace mailboxes.

Step 4: Forward new Gmail messages

Google’s forwarding page gives these steps. Open Gmail, then Settings, See all settings, and the Forwarding and POP/IMAP tab. Under Forwarding, click Add a forwarding address, enter the new address, and click through Next, Proceed and OK. Open the verification message sent to the new address and click its link. Refresh Gmail, return to the same tab, select Forward a copy of incoming mail to, choose what happens to the Gmail copy (Google recommends keeping it in the inbox), and click Save Changes.

Google says forwarding covers all new messages except spam, and that you can forward only some messages with a filter. For the first week Gmail shows a notice that you are forwarding, which is expected.

Step 5: Set an auto-reply

Google’s vacation responder page says to go to Settings, See all settings, the General tab, and the Vacation responder section. Select Vacation responder on, fill in the dates, subject and message, optionally limit it to your contacts, and click Save Changes. Your signature shows under the reply. The page says most people get the reply once, though someone can get it again after four days if it is still on.

Step 6: Move your contacts

Google’s contacts export page says to open Google Contacts, tick the contacts (or select all), click More actions, then Export, and choose Google CSV to back them up, then Export. The page says to download a CSV or vCard file to add contacts to another email account. We did not open the import page of each provider, so follow your provider’s own contact import instructions for the other half.

Step 7: Announce the change and update accounts

Once you move from Gmail to business email, send the notice below to your contacts, using a blind-copy list so you do not expose addresses. Then work through the list from step 1, changing the sign-in email on each service and ticking it off. Do the registrar and bank first.

A notice to send when you move from Gmail to business email

This is our own wording. Edit it for your tone.

Subject: My new email address

Hello, from today you can reach me at ngozi.adebayo@deltaridge.example. My old address, ngozi.adebayo@gmail.example, still works for now and is forwarded to the new one, but please use the new address from here on. Nothing else about how we work together changes. Thank you.

Then put the same address in your signature, so every message teaches people the change. Here is a made-up example:

Example only. The company, number and person are made up. The new domain address replaces the old free one.

Sending from Gmail after you move from Gmail to business email

Some people keep Gmail as the inbox for the new address, replying through “Send mail as”. Google’s send-as page now warns that from January 2027 Gmail will no longer support “Send as” for third-party email addresses, and its page on the change says Gmail-to-Gmail and Google Workspace “Send as” are not affected. Our free business email address article covers that in detail. The simple route is to use the new provider’s own webmail or app.

What we could not confirm about the move from Gmail to business email

  • Microsoft and Zoho from a free Gmail address. Their pages we read are written for Google Workspace mailboxes. We did not find a current page from either that covers a consumer @gmail.com account end to end.
  • Contact import. We read Google’s export steps but not each provider’s import page.
  • How long to keep forwarding. No page says. Our suggestion is to keep it until the list in step 1 is empty and replies to the old address have stopped.
  • Calendar. The Google import page does not list calendar events.

Keeping your signature right after you move from Gmail to business email

Your new address belongs in a signature on every device. For a team, emailfooter is a free WordPress plugin that lets the company admin design one signature, and each employee adds their own details and follows steps to install it. It does not push anything into mailboxes and is English only for now.

Frequently asked questions

Can I move from Gmail to business email and keep my old emails?

Yes. For a Google Workspace destination, Google’s data import tool copies email from a personal Gmail user into your Workspace user. Other providers have IMAP or file import tools.

How do I switch from free Gmail to domain email without losing contacts?

Export contacts from Google Contacts as Google CSV or vCard, then import the file into the new service using its own instructions.

How do I migrate Gmail to Google Workspace?

A super administrator uses Data import in the Admin console, requests authorization from the Gmail owner, names the target user, chooses options and starts the import.

Will Gmail forward mail to my new address automatically?

Only after you add and verify a forwarding address in Gmail settings. Google says it forwards new messages except spam.

How long does it take to move from Gmail to business email?

We found no vendor figure for the whole move. Most of the time is spent waiting for imports to finish and for contacts to adopt the new address, so keep forwarding on until replies to the old address stop.

Can I delete my Gmail account after I move?

You can, but only after everything that uses it has moved. Deleting the Gmail service ends mail to that address.
