Consultant email signature template for independents and small firms

A consultant email signature in two templates, solo and small firm, with the best order of fields and a booking-link version to use on first contact only.

A consultant email signature has one job beyond contact details: it tells someone who has never heard of you what you do and how to start. Put a one-line focus under your name, keep a single direct number, and add a booking link on first-contact messages only. Below are two templates, one for a solo consultant and one for a small firm, with the order of fields and a booking-link version.

Mail-app steps follow Google’s Gmail help page and Microsoft’s Outlook signature page, read in October 2026. The order of fields and the wording advice are our judgement, not research, and we have no data on what makes a prospect reply. The signatures are drawn by emailfooter’s engine with made-up people.

Consultant email signature: the order in six lines

  1. Name, then your role.
  2. Focus line: who you help and with what, in one line.
  3. Firm, or your own trading name if you work alone.
  4. One direct number, in international form.
  5. Booking link, on first-contact messages.
  6. Website, last. Registered details only if your firm needs them.

The field order for a consultant email signature

The order follows one reader: a person who got your message forwarded and has ten seconds. The table gives each field, who needs it and why it sits where it does.

PositionFieldSoloSmall firmWhy it sits here
1NameYesYesThe reader needs a name to reply to
2Role“Independent consultant” plus a specialism“Partner” or “Senior consultant”Says what kind of consultant
3Focus lineYesYesThe only line that sells anything
4FirmYour trading nameFirm nameGives the reader a name to search

6Booking linkFirst contactFirst contactThe action you want
7WebsiteYesYesFor the reader who needs proof

Our reason for putting the focus line high is simple: a forwarded message loses the context in which people knew you. The line restores it. Write it as who and what, in 8 to 12 words, for example “Cost and lead-time reviews for small manufacturers”. Skip superlatives and claims you cannot back up. The freelancer email signature article covers the case of putting the audience in the job title instead.

Template 1: a solo consultant email signature

A solo template has no firm to lean on, so the trading name and the focus line carry the weight. This template uses the company line for both. In emailfooter the tagline sits beside the company name, so “Boateng Advisory, then the focus line” reads as one line. The picture spot holds the logo, which emailfooter calls logo-only mode, so there is no headshot.

Solo template: logo in the picture spot, focus line beside the trading name, one number. Example only. The consultant and business are made up.

What to copy: the specialism inside the title, the focus line, and the single number. What to change: the trading name. If you have no business name, use your own, as in “Kwame Boateng Consulting”. Cocoa gives 7.44 to 1 for the title on white, by our calculation with the W3C contrast formula, so a 13 pixel title line passes.

Template 2: a small-firm consultant email signature

A firm signature does a different job. It must look the same for every partner, so it leans on the firm name and a shared switchboard, and it carries a notice. Everything personal is limited to name, role and a direct line.

Small-firm template: firm name and focus line, direct line plus switchboard, a booking link and a short notice. Example only. The firm and person are made up.

The notice wording above is a placeholder, not advice. Our article on the email confidentiality notice covers what such lines can and cannot do. If your professional body or regulator sets rules for credentials or registration lines, follow them. We have not read any consulting body’s rules, so we make no claim about them. For a firm that must show registration details, see company registration number in an email signature.

In a firm, the shared fields matter most: logo, firm line, notice and switchboard. In a firm of three, the small business email signature plan is a useful companion.

A booking link is the most useful line for a consultant and the most tiring one to see on every reply. Our suggestion is two versions: the link on first contact, and a shorter version without it on replies. Both vendors support that.

  • Gmail: Google’s page says you can set a default signature for new emails and another for replies. While you write you can change it with Insert signature at the bottom of the window.
  • Classic Outlook: under Signature > Signatures, set New messages and Replies/forwards to different signatures. Both are under Choose default signature on Microsoft’s page, so set the two boxes on purpose.

The first-contact version, drawn below, adds the link as a line in the contact block. The emailfooter label for it is fixed as “Book a meeting”, so it cannot say “Book a 30 minute call”. The Compact layout leaves out the booking link and the address, which suits the reply version.

First-contact version: the same details plus a booking link. The reply version would drop the link. Example only. The consultant and business are made up.

What to leave out of a consultant email signature

  • Every service as its own line. One focus line does the work, and a list invites the reader to skim past all of it.
  • A row of certification badges. They are pictures. Pictures may not load, and Google counts each image toward the signature’s 10,000 character limit. Our article on an image email signature has more.
  • Three phone numbers. Choose the one you answer.
  • A quotation. It pushes your phone number down a line.
  • A credential you do not hold. Check before you list one.

If you send from more than one address, Google’s page says the “Send mail as” feature lets you set a different signature for each address. Use it when one address is yours and the other belongs to the firm.

Setting up your consultant email signature

These steps follow Google’s and Microsoft’s help pages, read in October 2026.

  1. Gmail: click Settings, then See all settings. In Signature, add your signature in the box, then click Save Changes at the bottom of the page.
  2. New Outlook: go to Settings, then Accounts > Signatures, select Add signature, name it, type and format it, then select Save.
  3. Classic Outlook: open a new message, choose Signature > Signatures, select New, name it, compose it in Edit signature, then select OK.

For a firm, emailfooter puts the layout, logo and firm details in one place, and each consultant adds their own name, role, number and booking link. Employees install it in their own mail app by following the steps shown, because it does not push signatures into mailboxes. It is English-only for now. The professional email signature examples show finished signatures for other roles.

A consultant email signature is read by strangers, so it should do its job in a few lines and then get out of the way. Write the focus line first, and build the rest around it.

Frequently asked questions

What should a consultant email signature include?

Name, role, a one-line focus, your firm or trading name, one direct number, a booking link on first contact, and your website. Add registration details only if your firm needs them.

What should a management consultant say about credentials?

Only credentials you hold, written as your professional body expects. We have not read any consulting body’s rules, so check yours.

On first-contact messages, yes, in our view. Leave it off replies by using a separate reply signature, which both Gmail and classic Outlook allow.

Do I need a logo as a solo consultant?

Not necessarily. A solo consultant can use a trading name and a focus line, with a small logo as a bonus. If you use one, keep your details as text.

What is a good template for a small consulting firm?

The second template above: firm name and focus line, a direct line plus the switchboard, a booking link, and a short notice. Give every partner the same layout.
