Professional email signature examples are only useful if you can see why they work. This page has twelve, from an accountant to a clinic receptionist. Three are drawn by emailfooter’s signature engine and annotated line by line; nine are shown as plain lines in a table, with a note on what to copy and what to change.
Unlike our email signature templates article, which is organised by layout, this one is organised by job. All names, firms and numbers are made up.
How to read each example
- Copy means the choice is safe for anyone in that role.
- Change means the line depends on your business or country.
- Cut means most people in the role can leave it out.
Three drawn professional email signature examples
Example 1: an accountant
|
Example 1: classic layout with credentials after the name. The firm and person are made up.
| Line | Verdict | Why |
|---|---|---|
| Name with credentials | Copy, then change | Credentials tell a client the person is qualified. Write them in the form your professional body asks for. |
| Tax Manager | Copy | A title that names the work, not the rank. |
| Direct and office numbers | Copy | Two numbers with clear roles: a direct line and the switchboard. |
| Address | Change | Keep it if clients visit, cut it if you work remotely. |
| No social icons | Copy | A client does not need a feed to hire a tax manager. |
Example 2: a recruiter
|
Example 2: profile layout with a photo and a booking link. The firm and person are made up.
| Line | Verdict | Why |
|---|---|---|
| Photo | Copy | A recruiter is a stranger to every candidate, and a face helps. |
| Title with a sector | Copy | “Engineering” tells a candidate the message is relevant to them. |
| Mobile number | Change | Candidates reach recruiters by phone, but keep it to one number. |
| Booking link | Copy | It turns “can we talk?” into a time. |
Example 3: a clinic receptionist
|
Example 3: aligned layout, label and value grid. The clinic and person are made up.
| Line | Verdict | Why |
|---|---|---|
| Department | Copy | It tells the patient which part of the clinic is writing. |
| Clinic number only | Copy | The front desk is a shared line, so no personal mobile. |
| Address | Copy | Patients need to find the building. |
| Privacy notice | Change | If your clinic needs one, add it as a short footer line. Ask your compliance officer what applies. |
Nine more professional email signature examples, as plain lines
Each row shows the signature as lines separated by slashes. The last two columns say what to take and what to adjust.
| Role | The lines | Copy | Change |
|---|---|---|---|
| Real estate agent | Chidi Eze / Senior Negotiator, Eze Homes / +234 803 555 0120 / Book a viewing | The booking link | The licence line, if your market requires one |
| IT support | Sam Rivera / IT Support Lead, Crestline Ltd / +1 415 555 0119 / Support desk: help@crestline.example | A shared support address | Remove the personal number if the desk handles calls |
| Teacher | Mr A. Banda / Year 5 Teacher, Hillview School / School office +260 211 555 0100 | School office number only | Titles to match your school’s style |
| Shop manager | Lucy Wanjiru / Manager, Wanjiru Hardware / 14 Moi Avenue, Nairobi / Open Mon to Sat, 8 to 6 | Opening hours | Address, if a branch changes |
| Charity coordinator | Rosa Quinn / Volunteer Coordinator, Open Hands / Donate: openhands.example/give | One clear action | The action, if the campaign changes |
| Project manager (remote) | Ibrahim Sule / Project Manager, Delta Build / Based in Abuja, working WAT / Calendar link | Time zone | Calendar link, if you do not take calls |
| HR manager | Grace Obi / HR Manager, Zenith Foods / hr@zenithfoods.example / +234 701 555 0144 | A shared HR mailbox | Direct number, if staff use the mailbox |
| Photographer | Mia Torres / Wedding and Portrait Photographer / mia-torres.example/portfolio | The portfolio link | Nothing else is needed |
| Engineer | Dr Pieter Venter, PEng / Structural Engineer, Venter and Moll / +27 21 555 0187 | Credentials after the name | The credential format your regulator uses |
What the nine have in common is a single clear action: a link to click, an address to write to, or a number to call. A signature with six actions has none.
Which of these professional email signature examples fits you?
Pick by what your readers need to do next.
- They need to trust you before they hire you: examples 1 and 9 (accountant, engineer). Credentials and a restrained layout.
- They need to book time with you: example 2 and the estate agent, recruiter and consultant rows. A booking link comes first.
- They need to find a place: example 3 and the shop manager. Address and hours.
- They need to reach a team, not a person: the IT support, HR and teacher rows. A shared mailbox or office line.
- They need to see your work: the photographer row. One portfolio link, nothing else.
How to adapt professional email signature examples in five steps
- Replace every made-up detail. Names, numbers, links and addresses. Search the result for “example” so no placeholder survives.
- Format phone numbers with the country code, for example +44 20 7946 0222, so they work from abroad.
- Cut a line, then cut another. If you cannot say who would use a line, remove it.
- Check any credential or legal line with the body that governs your profession or with your lawyer. We do not state rules we have not read in an official source. This is general information, not legal advice.
- Send it to yourself and open it on a phone and in a second mail app.
What the good examples share
Compare the examples and a pattern appears.
- Four to six lines of text. Nothing that makes the signature taller than the message.
- A title that describes the work. “Tax Manager”, “Reception and Bookings”, “Senior Recruiter, Engineering”.
- One main way to reach the person, with a second only if it has a different purpose.
- A logo or photo that is decoration, never the only place the name appears.
That last point matters because of how mail apps treat pictures. Microsoft says classic Outlook is set by default to block automatic picture downloads (Microsoft’s page on picture downloads, read in October 2026), and its page on message formats says plain text does not support showing pictures inside the message. If a client’s app drops the images, the text lines must still make sense.
Putting an example into your mail app
Gmail: open Settings, See all settings, add the signature in the Signature section and click Save Changes. Google’s help page (Gmail Help, read in October 2026) says a signature can hold up to 10,000 characters and that images count toward the limit. Outlook: in new Outlook, go to Settings, Accounts, Signatures, select Add signature, build it and save.
The drawn examples can be built in emailfooter, and the plain-line ones need nothing but a text box. The article on simple email signatures goes further down the minimalist route, corporate email signatures goes the other way, and email signature best practices sets out the rules behind these choices.
Frequently asked questions
What does a good professional email signature look like?

The twelve above cover an accountant, recruiter, clinic receptionist, estate agent, IT support, teacher, shop manager, charity coordinator, project manager, HR manager, photographer and engineer.
How many lines should a professional email signature have?
Between four and seven is normal. If it is longer than a typical reply, cut it.
