To set an Outlook signature on iPhone, open Settings in the Outlook app, tap Signature under Mail, and type your text. Turn on Per Account Signature if each mailbox needs its own. These steps follow Microsoft’s help page Can I change my email signature?, read in October 2026. It is a short page, so this guide also tells you where it stops and what to test yourself.
Outlook signature on iPhone in four lines
- Open the Outlook app, then Settings.
- Under Mail, tap Signature.
- Type one signature, or switch on Per Account Signature.
- Send yourself a test from the phone.
Outlook signature on iPhone: the steps
Microsoft gives the same three steps for Outlook for iOS and Outlook for Android:
- Open Settings.
- Under Mail, tap Signature.
- Enter your signature, or switch the toggle to enable Per Account Signature and enter a signature for each of your accounts.
That is the whole procedure on the page. It does not say where the Settings button sits on the screen, so look for the settings icon in your version of the app. It also lists no Save step. After typing, go back out of the screen, then open Signature again to confirm the text stayed. If it did, you are done.
Outlook signature on iPhone for one account or several
The toggle decides how many signatures you keep. Microsoft’s page says you can have one signature for all your accounts or a different one for each. Which is better depends on what the phone holds.
| What your phone holds | Suggested setting | Why |
|---|---|---|
| One work mailbox | Single signature | Nothing to keep apart |
| Work and personal mailboxes | Per Account Signature on | A personal note should not carry your job title |
| Two company mailboxes with different brands | Per Account Signature on | Each brand keeps its own name line |
| A shared mailbox such as info@ | Per Account Signature on | Sign with the team, not one person |
After you switch the toggle on, check every account, not just the first. A blank entry under one of them means mail from that account goes out with no signature at all.
Outlook signature on iPhone with images from your desktop
This is the part people search for, and the Microsoft page is quiet on it. The three steps say nothing about images, fonts, links or tables. We will not guess what the signature box does when you paste a designed signature into it.
What you can do is test. It takes five minutes and settles the question for your phone and your software version.
| Test | What to do | What you learn |
|---|---|---|
| Paste | Copy the signature from your computer and paste it into the box | Whether the box accepts it at all |
| Send | Email yourself from the phone | What the message looks like on arrival |
| Second address | Send to an address at a different provider, such as a personal one | Whether another mail app shows the same thing |
| Second device | Open the sent message on a computer | Whether a logo shows as a picture or as an attachment |
If the logo or layout does not survive, keep the phone version short and text only. A logo that arrives as a blank box looks worse than no logo.
Here is a desktop signature drawn by emailfooter, and below it the mobile text we would use for the same person.

Mobile version, one item per line: Ines Valdez, then Practice Manager, Larkspur Dental, then +1 312 555 0187. The reader gets a name, a role and a number. The longer message above it stays the main thing on screen. Our guide to a mobile email signature covers what else belongs in it.
Why your computer signature does not appear on the phone
A signature you set on Windows or on the web is not the setting you just edited. Microsoft’s help pages for those versions describe their own steps, and the iOS steps above do not mention reading from them. So if you wrote a careful signature in new Outlook for Windows and your phone mail goes out bare, the phone has its own empty box. Fill it in once and it stays.
The reverse also holds. Editing the phone signature does not change what the computer sends. Each place you send from needs its own.
Is it the Outlook app or the Mail app?
An Outlook account can be added to Apple’s own Mail app as well as to the Outlook app. The two apps do not share a signature setting. If you tap an icon on the home screen and the app is called Mail, you are in Apple’s program, and the steps are in our guide to changing an email signature on iPhone. The Gmail app has its own too, covered under Gmail signature on iPhone.
The quickest check is the app’s name under its icon, and the name at the top of the screen when you write a message.
Outlook signature on iPhone not showing
Work through these in order.
- Is Per Account Signature on, with the right account filled in? Mail sent from an account whose entry is blank has no signature.
- Are you sending from Outlook or from Mail? They are separate apps with separate settings.
- Did the text stay? Reopen Signature after you leave it. The page lists no save step, so confirm for yourself.
- Did you only edit the computer? The phone has its own box.
- Is the signature below the quoted thread? On a long reply, scroll to the end of the message before deciding it is missing. Microsoft’s page does not say where the phone places it, so we cannot tell you.
- Is a company rule adding text? If your mailbox is in Exchange Online, an administrator can add a footer on the server, and it is added to mail whatever app sent it. Our guide to a mail flow rule signature explains how those work.
An Outlook signature on iPhone for a whole team
Typing a signature on 30 phones produces 30 versions of the company name. A practical fix is to send everyone the same short text and ask them to paste it into the Signature screen.
emailfooter, the free WordPress plugin we make, keeps one company design and lets each employee fill in their own details, with numbered steps for 16 mail apps. It builds the signature for the apps that take a designed one. It does not install anything on a phone, so each person still pastes their own, and it is English-only for now.
Frequently asked questions
How do I add a signature in the Outlook app on iPhone?
In the Outlook app, go to Settings, then Signature under Mail, and enter the text. Switch on Per Account Signature if each account needs its own.
Can I use a logo in an Outlook signature on iPhone?
Microsoft’s page does not mention logos or images, so we cannot confirm it. Paste one in, send yourself a test, and check it on a second device.
Why is my Outlook signature on iPhone different from my computer one?
They are separate settings. The computer signature is set in Outlook for Windows, Mac or the web, and the phone has its own Signature screen.
Can I have a different Outlook signature on iPhone for each email account?
Yes. Microsoft says to switch on Per Account Signature, then enter a signature for each account.
