Here is how to change email signature in Gmail: open Settings, choose See all settings, scroll to Signature on the General tab, click the signature you want, edit it and click Save Changes. The part that catches people is what happens next: the old signature sometimes keeps appearing from somewhere else. These steps follow Google’s Gmail signature help page, read in October 2026, and the second half of this page is about those leftovers.

Google adds a tip to its page on how to change email signature in Gmail: you can also choose a signature default for new emails and for the emails you reply to. That matters more than it sounds. If you created a brand new signature instead of editing the old one, Gmail will keep using whichever one the defaults point to until you change them.
How to change email signature in Gmail: edit the old one or add a new one?
Both work. Editing in place is the quicker choice when only a title or phone number changed. Creating a second signature is better when you want to keep the old one for a while, for example during a rebrand, and switch over on a set day.
| You want to | Do this |
|---|---|
| Fix a typo or new phone number | Edit the existing signature and save |
| Rename it so you can tell versions apart | Click Edit next to the name |
| Switch to a new design on a set day | Create the new one now, change the defaults on the day |
| Stop using one for good | Select it, click Delete, confirm, then Save Changes |
Change your email signature in Gmail on your phone
The phone app keeps a separate signature that applies only to emails you send from the Gmail app. Google’s page gives these steps for how to change email signature in Gmail on each system.
Android
- Open the Gmail app and tap Menu at the top left.
- Scroll to the bottom and tap Settings.
- Choose the Google Account you want to change.
- Tap Mobile signature, edit the text and tap OK.
iPhone and iPad
- Open the Gmail app and tap Menu at the top left, then Settings.
- Under Compose and Reply, tap Signature settings.
- Make sure Mobile Signature is on, then edit the text.
- Tap Back to save.
Google says that if you haven’t created a signature in the app, new messages use the one from your computer. The reverse is the trap. Once a mobile signature exists, editing the computer version no longer changes what your phone sends. For more on the phone side, see the guides to the Gmail signature on iPhone and Gmail signature on Android.
Where your old Gmail signature keeps showing up
When you have followed how to change email signature in Gmail and the old text still appears, check this list before you decide the edit failed.
| Where you see the old one | Why | What to change |
|---|---|---|
| Emails you sent before the edit | A sent message is a fixed copy | Nothing. It cannot be edited |
| Messages sent from the phone app | The mobile signature is separate | Edit it in the app’s settings |
| One address only | Each “Send mail as” address has its own signature | Pick that address in the drop-down above the box and edit there |
| New emails, but not replies (or the reverse) | The two defaults are set separately | Update both under signature defaults |
| Old messages inside a long reply chain | The earlier messages still contain their own signatures | Nothing. They are quoted history |
| A line you cannot edit at all | An admin may add a footer to every message | Ask your Google Workspace admin |
| Mail sent from Outlook or Apple Mail | Those apps keep their own signature | Change it in that app |
The admin footer deserves a note. Google’s Workspace help says an appended footer isn’t shown to people while they write a message, and they can’t change or remove it. If your edit works on a test email but recipients still see an extra block of text, ask who manages your Workspace account. The admin side is covered in setting one signature for everyone in Google Workspace.
Check the result properly
Knowing how to change email signature in Gmail is only half the job, because you also need to see what recipients get. Send a test email to yourself rather than judging by the compose window. Then look at it in two places: the Gmail app on your phone and a computer. If the signature seems to be missing, Google notes that it can sit below the body of the message behind a three-dot link. Scroll to the bottom of the message and click Show trimmed content. If it really is missing, work through why a Gmail signature is not showing.
How to change email signature in Gmail when formatting goes wrong
Changing the text is easy. Changing the look is where it gets awkward, and Google’s troubleshooting page covers three cases.
- Odd display or extra characters. In See all settings, select the signature in the Signature section and click Remove formatting. Google says some Gmail versions don’t support bold or italics, and formatted text there can leave stray characters.
- You cannot format at all. If the words Plain Text appear above the signature box, click Compose, then More options at the bottom right, and uncheck Plain text mode.
- An image looks wrong. A very large image can cause a display problem. Google recommends a signature image 70 to 100 pixels high by 300 to 400 pixels wide, with a maximum of 100 pixels high by 1000 pixels wide. Select the image in the editor and choose Small, Medium, Large or Original size.
The signature limit also applies when you edit. Google’s page says you can put up to 10,000 characters in a signature, and that an image counts toward that limit. If Gmail gives an error after you add something, try resizing the image first.
How to change email signature in Gmail for a whole team
Learning how to change email signature in Gmail takes two minutes for yourself. Doing it for 30 people after a new phone number or a rebrand is a different job, because the steps above change only your own signature, so every person has to open the same settings and paste the same thing.
emailfooter is a free WordPress plugin built for that situation. The admin changes the design, logo or legal line once, and each employee opens their own page and copies the new version, with numbered steps for Gmail. It does not install anything into mailboxes for them, so each person still pastes it in, but nobody has to rebuild it from scratch.
That is the gap in how to change email signature in Gmail for a team: the steps are the same, but someone has to keep every copy matching. There is more on this in the company email signatures guide.
Here is the kind of shared design an admin can set up once:
