Here is how to add email signature in Gmail: open Settings, choose See all settings, scroll to the Signature section on the General tab, create a signature, choose where it is used and save. It takes about two minutes. The steps below follow Google’s own Gmail signature help page, which we checked in October 2026, and add the settings people tend to miss.
How to add email signature in Gmail: quick steps on a computer
- Gmail: Settings (cog), then See all settings.
- On the General tab, scroll to Signature.
- Click Create new, name it, and write your signature.
- Pick the signature for new emails and for replies and forwards.
- Click Save Changes at the bottom.
How to add email signature in Gmail on a computer
- Open Gmail in your browser and sign in.
- Click the Settings cog at the top right, then See all settings.
- Stay on the General tab and scroll down until you reach Signature.
- Click Create new. Gmail asks for a name. Use something you will recognise later, such as “Work” or “Short”.
- Type your signature in the box. Use the toolbar to change the font, size and colour, add a link, or insert an image.
- Below the box, under Signature defaults, set which signature goes on new emails and which on replies and forwards. You can choose “No signature” for either.
- Scroll to the bottom of the page and click Save Changes. If you leave without saving, nothing is stored.
Open a new message to check. Your signature should already be at the bottom.
Limits worth knowing
Google’s help page says a Gmail signature can hold up to 10,000 characters, including images, and that you can create up to 10 signatures. That sounds generous, but a signature made of a heavy HTML layout can reach the limit faster than you expect, because every table, style and link counts. If Gmail refuses to save, shorten the signature or remove styling you do not need.
How to edit or change your email signature in Gmail
To edit an email signature in Gmail, go back to Settings, See all settings, General, Signature. Click the signature you want in the list, change the text in the box, and click Save Changes. The change applies to new messages from then on. Emails you have already sent keep the old version.
To remove one, select it and use the Delete option, then confirm and save.
How to use a different signature for different addresses
If you send from more than one address in the same Gmail account, use the “Send mail as” feature. In the Signature section there is a drop-down above the box; choose the address first, then set its own signature. This is how someone who runs two businesses keeps their messages apart.
How to insert a different signature while writing a message
You can swap signatures for a single message. In the compose window, click the Insert signature button (the pen icon at the bottom), and pick another one. This is useful if you keep a short signature for quick replies and a full one for first contact.
How to add email signature images or a logo in Gmail
In the signature editor, the image button lets you add a picture. You can upload one from your computer or paste a web address. Which you choose matters:
- A web address (a hosted image) is the more reliable route. The image loads when the reader opens the message.
- An upload is stored in your Google account and works too, though it counts toward the signature size and the exact behaviour in the reader’s app can differ.
Keep the logo small, around 150 to 200 pixels wide, and give it a short alt text with the company name. See the signature size guide for numbers. This is the kind of result to aim for:

How to add email signature in Gmail on your phone
The phone has its own signature setting. The exact wording depends on your device and app version, so look for the nearest label:
- Android: open the Gmail app, tap the menu, choose Settings, pick your account and choose Mobile Signature.
- iPhone and iPad: open the Gmail app, tap the menu, choose Settings, pick your account and look for Signature settings.
A mobile signature is normally plain text, so write a short version: name, title, company, phone number. If you leave it empty, the app sends nothing, which is why people reading your email on a phone never see the logo you set up on your computer.
Why your Gmail signature does not show
Most missing-signature problems come down to one of five things:
- You did not click Save Changes. The most common one.
- The defaults are set to “No signature”. Check Signature defaults for both new emails and replies.
- You are looking at a reply. If the replies setting is off, only new messages get the signature.
- You are sending from a different address. The signature belongs to the address chosen in “Send mail as”.
- You are on a phone. The mobile app uses its own signature.
If the signature appears but the logo is a red cross, the image is hosted somewhere the reader cannot reach, or their app blocks images until they allow them. Add alt text so the company name still shows.
How to add email signature in Gmail: tips that avoid problems
Knowing how to add email signature in Gmail is half of it. These habits keep the result tidy:
- Keep it short. Four to six lines of text is plenty. A long signature pushes your actual message down the screen.
- Do not paste from Word. Word brings its own styles with it, and the signature can look different once it is sent. Type it in the Gmail box, or paste from a web page.
- Send yourself a test. After you save, write a message to your own address and read it on your phone as well as your computer.
- Use a shorter version for replies. Create two signatures, a full one for new emails and a short one for replies and forwards, and set both under Signature defaults.
- Link, do not attach. If the logo is a hosted picture, it loads when the reader opens the message and does not travel as an attachment.
A better way for a team
Once you know how to add email signature in Gmail for one person, the steps above are enough. For a company, the trouble is that each employee ends up with a different version. emailfooter is a free WordPress plugin that keeps the design, logo and legal line fixed while each person edits only their own name, title and phone. Each employee then gets numbered steps for Gmail, with a copy button, so they paste it into the Signature box described above. The general setup guide, how to set up an email signature, covers other apps.
