Most firms have a confidentiality notice and some also need a regulatory line, a registered number or a statement about who authorises the firm. They live in a Word document called something like “email footer final v3”, and every new starter pastes from whichever colleague they sit next to.

Titles drift too. One person writes “Partner”, another “Equity Partner”, a third “Partner – Disputes”. Direct lines are in three formats. A visiting lawyer’s signature carries the name of the firm they left.

The confidentiality notice and any regulatory or registered-number line sit in the legal footer. Employees cannot change or remove it.

People type their own title, but the layout, fonts and colours are fixed by the firm, so the signatures look related.

Follow these steps to roll out your email signature for law firms without chasing people.

  1. Ask your compliance officer for the exact wording of the confidentiality notice and any regulator or registration line.
  2. Install the plugin and activate it. Enter the firm name as it appears on your registration.
  3. Paste the wording into the legal footer under Business info. Lawyers cannot edit it.
