How long should an email signature be? For most people, four to seven lines of text, about 25 words and no more than roughly 160 pixels of height, and always shorter than the message above it. Replies need less than that and a sales or regulated signature may need a little more.
No mail app publishes an ideal length. The only hard number we found is Gmail’s: Google’s help page, read in October 2026, says you can put up to 10,000 characters in a signature and that an image counts toward that limit. Every other ceiling in this article is ours, and we say how we measured it.
How long should an email signature be? Four ceilings
- Reply version: 4 lines, 15 words, about 70 pixels tall.
- Standard employee: 7 lines, 25 words, about 160 pixels.
- Sales or client-facing: 9 lines, 35 words, about 210 pixels.
- Regulated or executive, with a legal line: 10 lines, 45 words, about 240 pixels.
How long should an email signature be? Four types, four ceilings
The left-hand columns are our ceilings. The right-hand columns are what we measured on signatures built with the emailfooter engine in October 2026, using made-up details.
| Type | Lines (ceiling) | Words (ceiling) | Height (ceiling) | Built: lines, words | Built: height | Built: HTML characters |
|---|---|---|---|---|---|---|
| Reply version | 4 | 15 | 70 px | 4, 12 | 54 px | 2,268 |
| Standard employee | 7 | 25 | 160 px | 7, 21 | 156 px | 6,163 |
| Sales or client-facing | 9 | 35 | 210 px | 11, 32 | 210 px | 9,338 |
| Regulated or executive | 10 | 45 | 240 px | 9, 42 | 242 px | 8,153 |
Lines and words are counted in the engine’s plain-text version, so labels such as “Phone:” count. Heights were measured in a browser at 13-pixel type, in a 600-pixel-wide signature, text only. A logo or photo beside the text adds height only if it is taller than the text. The sales build is over its line ceiling because the plain-text version prints each social icon on its own line, and the drawn version shows them on one row. In real life you would cut those icons first.
What the four builds contain
- Reply: compact layout, name, title, company and one mobile number.
- Standard: classic layout, hosted logo, office and mobile numbers, email and website.
- Sales: profile layout, hosted logo, photo, two numbers, email, website, booking link and three social icons.
- Regulated: executive layout, hosted logo, two numbers, email, website, address and one sentence of legal text.
The character counts include the links to the hosted images. The heights were measured without the images, so a tall logo could add to them.
Lines, words or pixels: how long should an email signature be?
Count lines first. It is the number you can check at a glance, and it tracks the others. A text line at 13 pixels is about 20 pixels tall in the emailfooter engine, because it sets line height at 1.5 times the font size, so seven lines of plain text would be about 140 pixels before any padding. Layouts that put two items on a row, like a phone and a mobile number, come out shorter than that.
Count words next, because words are what the reader actually reads. A signature past about 45 words starts to look like a paragraph. Pixel height is the last check, and the one that matters most on a phone, where a 240-pixel block fills much of the screen under a short reply.
How long should an email signature be in Gmail?
Google’s page gives the limit and one detail: “Your image also counts toward the character limit.” It does not say how characters are counted, or whether the code behind the layout counts. So we measured the HTML our engine produces and treated it as a cautious upper bound.
On that measure, the reply build is about a quarter of the limit and the standard one about 60 percent. The sales build, at 9,338 characters, is within 7 percent of 10,000. That is close enough that one more link or a longer address could tip it over, if Google counts the way we did. Your numbers will differ with the length of your URLs and text.
What each element adds
We rebuilt the sales signature without one element at a time to see what each costs, in HTML characters:
- Three social icons: about 2,060.
- Logo (hosted, by link): about 495.
- Photo (hosted, by link): about 355.
Two things follow. Social icons are the most expensive item and the least useful one for most readers. And hosting images, instead of embedding them, keeps the count down. An embedded image is a different matter: it would add its full encoded data, which is far more than a link. If Gmail refuses to save a signature, our signature too big article walks through the fix.
On a reply: how long should an email signature be?
A reply to a message from this morning does not need your logo, your address or your legal line. Both big mail apps let you set a different default for replies. Google’s page says you can choose a signature default for new emails and for emails you reply to. Microsoft’s Outlook page, read in October 2026, describes a New messages dropdown and a Replies/forwards dropdown in classic Outlook.
Build the reply version first. If your full signature is seven lines, the reply version is name, title and one number. Our etiquette article says when to drop it altogether.
What to cut first when it is too long
If the honest answer to how long should an email signature be is “shorter”, cut in this order. The order is ours, not a rule:
- Social icons (the biggest saving, the smallest loss).
- The photo.
- A second phone number. Keep the one clients actually call.
- The postal address, unless people visit.
- Anything that is not text a reader would use: banners, quotes, awards.
- The legal line last, and only if your sector does not require it. Ask your compliance officer. General information, not legal advice.
For a worked example of trimming, see simple email signature, which starts from ten short signatures.
Two signatures that fit the ceilings
The first is a standard employee signature. The second is a sales signature trimmed to the ceiling: no social icons, one booking link.
|
A standard employee signature: name, title, company, two numbers, email and website. The company and person are made up.
|
A sales signature held to the ceiling: one number, one website, one booking link. The company and person are made up.
Across a team: how long should an email signature be?
A length ceiling works best when nobody has to remember it. In emailfooter the admin picks the layout, the shared company details and which numbers appear, and each employee adds only their own details, so a signature cannot grow past the design. Employees still install it in their mail app by following the steps shown, because emailfooter does not push signatures into mailboxes. The best practices article covers the wider rules.
So, how long should an email signature be in your company? Pick the ceiling for each type from the table, build the shorter version for replies, and check the result by sending it to yourself. If the signature is taller than the message it follows, cut something. For what is worth keeping, read what to include.
Frequently asked questions
How long should an email signature be in lines?
Four to seven lines for most employees, four on replies, and up to nine or ten for sales or regulated roles. These are our ceilings, not a vendor rule.
How long should an email signature be in words?
About 25 words for a standard signature and up to 45 for one with a legal line. Past that it reads as a paragraph.
How long should an email signature be on a phone?
Shorter than on a desktop. A reply version of about 70 pixels leaves room for the message on a small screen.
What is the maximum length of a Gmail signature?
Google’s help page says up to 10,000 characters, and an image counts toward that.
Is there a maximum email signature length in Outlook?
We did not find a published limit on Microsoft’s signature page, so we do not state one. Keep the signature shorter than the message regardless.
