Email signature directory sync: fill signatures from Azure AD or Google

Email signature directory sync fills names, titles and phones from Azure AD or Google. See which fields map where, how to clean data first, and what blanks do.

Email signature directory sync means a signature fills itself from your directory, Microsoft Entra ID (the name now used for Azure AD) or Google Workspace, so a name, title or phone number is corrected in one place and appears in every signature. It is only as good as the directory it reads, and it needs something to do the filling: a Microsoft 365 rule, or a signature tool. emailfooter does not offer it, and this page says so before it says anything else.

What follows is a map of which directory fields feed which signature fields, six steps to clean the data first, what each platform does with an empty field, and what the vendors say on their own pages, read on 5 October 2026. The platform details follow Microsoft’s Exchange page on disclaimers, its admin page on organization-wide signatures (page date 7 May 2026), and Google’s pages on user signatures and Directory profiles (both last updated 1 October 2026).

Email signature directory sync in brief

  • Microsoft 365 mail flow rules can print values from the sender’s directory entry. If a field is empty, Microsoft says the rule skips the whole line.
  • Google’s admin footer is fixed text. The pages we read do not describe it filling in each person’s Directory fields.
  • Signature tools advertise Entra ID and Google syncs. Exclaimer says its sync runs twice a day for Microsoft 365 and Google Workspace.
  • Clean the directory first: one title style, one phone format, no blanks. emailfooter has no directory sync, so people type their own details.

How email signature directory sync works

Three parts make up any directory-fed signature. A source holds the facts: the person’s title, department and phone numbers. A mapping says which fact goes in which place in the design. A delivery method puts the result into outgoing mail: a server-side rule, an add-in, or a tool that writes to each mailbox.

When something goes wrong, it is almost always in the first part. The template is fine and the mapping is fine, but the title field says “mgr” for half the company and is empty for the other half. That is why a sync project starts with data, not design.

Which directory fields feed which signature fields

This table lines up the values Microsoft’s Exchange page says a disclaimer can use with the fields Google’s page says an admin can store in a Directory profile. It shows what is available, not what any particular tool maps for you.

Signature slotMicrosoft 365 valueGoogle Directory field
Name%%DisplayName%%, also %%FirstName%% and %%LastName%%Display name
Job title%%Title%%Job title
Department%%Department%%Department
Office phone%%Phone%%Phone numbers
Mobile%%MobilePhone%%Phone numbers
Company%%Company%%Not listed as a separate field on that page
Office or address%%Office%%, %%City%%, %%StreetAddress%%Physical addresses, desk location
Email%%WindowsEmailAddress%%Primary email address
Manager%%Manager%%Manager email

On Google Workspace the admin path for one profile is Menu, Directory, Users, then the person, then User information. Job title and department sit under employee information. For many people at once, Google names three routes: Bulk update users on the Users page (download, edit, upload), the Admin SDK Directory API, and Google Cloud Directory Sync. Google adds that it can take up to 24 hours for changes to appear in Google services.

Six steps to prepare for email signature directory sync

  1. Export the people list. From your directory, with name, title, department, phone numbers and office. On Google Workspace, the bulk update download gives you this.
  2. Agree the house style. Decide whether titles use capitals and abbreviations, and whether phone numbers use the international format. Our page on writing a phone number internationally shows one format that works abroad.
  3. List the blanks. Filter for empty title, department and phone cells. These are the people whose signatures will have holes.
  4. Remove the stale. Leavers who still have a record, test accounts and shared mailboxes with a person’s name on them. Shared mailboxes usually have no direct phone, so decide what they show.
  5. Decide what blank means. Either the line is hidden, which is what Microsoft’s rule does, or a fallback such as the main switchboard number appears. Pick one on purpose.
  6. Re-check after the first sync. Allow for delay (see the platform notes), then sample real messages. Our audit checklist says what to look at.

Do the first five on paper before you touch the live directory. Then change the data, then switch on the sync, in that order.

What happens to blanks in email signature directory sync

WhereWhat happens to an empty field
Microsoft 365 mail flow ruleMicrosoft’s admin page says rules skip lines that contain variables they cannot update, such as a phone line when no phone number is provided
Google admin footerNot applicable: the footer page describes fixed text, not per-person fields
ExclaimerIts pricing page says the Pro plan fills Active Directory gaps from an HR system or a CSV import. Its directory page does not say what happens to a missing field
Letsignit, WiseStamp, NewOldStampThe pages we read do not say
emailfooterNo sync. In the examples we drew for this site, a field left empty is simply left out of the signature

If a phone line vanishing from someone’s signature would matter, fix the data. Do not rely on a tool to guess.

What the tools say about email signature directory sync

These are statements from the vendors’ own pages on 5 October 2026. We have not tested any of them.

  • Exclaimer. Its directory synchronization page names Entra ID, Google Workspace, Okta and an HR system as sources. For Microsoft 365 and Google Workspace it says the sync runs automatically twice a day, can be started manually from Sender Management, and may take up to three hours to finish. Its pricing page lists user directory sync from Azure Active Directory or Google Directory on Starter, Standard and Pro, and an HR directory integration on Pro only.
  • Letsignit. Its pricing page lists automatic directory attribute sync and CSV user import on all four of its plans, Google Directory sync on Signatures, Platform and Enterprise, and advanced Entra ID sync and multi-source API sync on Enterprise only.
  • WiseStamp. Its pricing page lists Google Workspace and Microsoft 365 integrations with automatic sync of employee details on the Basic plan, and mapping of custom directory fields on the Platform plan.
  • NewOldStamp. Its pricing page lists Google Workspace and Microsoft 365 integration among the features of its one public plan, with no more detail.

What each costs is on our page about email signature software pricing. For choosing between categories of tool, see our guide to signature management software and the overview of centralized signature management.

What emailfooter does instead of email signature directory sync

emailfooter works the other way round. There is no connection to Entra ID or Google Directory. The company admin designs the signature, sends each person an invitation by email address, and the person types their own name, job title, department, phone and other details into a live preview. The documentation describes no bulk import. The admin can lock the phone rule, so everyone shows the company number, the personal number or both.

The trade-off is plain. A person is a fine source for their own mobile number and a poor one for house style, so typos and inconsistent titles are the cost. The usual remedies are a written title style and a regular sample check. Where you need the directory to be the single source of truth, a tool from the list above is the honest answer.

Here is what a complete directory entry produces when it feeds a signature.

Every field present: name, title, department, direct line. A blank field would drop its line. The company and person are made up.

Make email signature directory sync easier on yourself

Start with the smallest change that helps. Fix titles and phone numbers in the directory, even if you never buy a tool, because those fields also power address books and meeting cards. Then decide whether you need email signature directory sync at all. For a company of ten, a shared design and a one-page house style may serve better. For a company of two hundred, hand-typed details will drift. The page on new employee setup shows where the directory entry fits in onboarding, and signatures by department shows how the department field can pick a variant.

Frequently asked questions

What is email signature directory sync?

It is a link between your directory and your signatures, so details such as name, title and phone number are read from Entra ID or Google Directory and filled in automatically. A change in the directory then reaches every signature.

How does email signature directory sync work with Azure AD?

In Microsoft 365, a mail flow rule can print values like the title and phone number from the sender’s entry. Signature tools such as Exclaimer, Letsignit and WiseStamp advertise their own Entra ID syncs.

Does Google Workspace offer email signature directory sync?

The Google pages we read describe a fixed admin footer and Directory profile fields, but not a feature that fills a signature from the profile. Tools that sync with Google Directory are listed above.

Does emailfooter offer email signature directory sync with Azure AD or Google?

No. People enter their own details after an invitation, and the admin controls the design and the phone rule.
