A construction company email signature has two jobs a desk-job signature does not. It has to let a client or supplier standing on a site reach the right person by phone in one tap, and in many places it has to carry the contractor’s licence number. This page gives two templates, one for a general contractor and one for a licensed trade, and shows what three official sources say about licence lines.
We opened these pages in October 2026: the California Contractors State License Board’s Advertising Guidelines for Contractors, the New South Wales government’s page on building trade advertisements, and GOV.UK’s page on signs, stationery and promotional material for limited companies. This is general information, not legal advice. The firms and people in the examples are made up.
Construction company email signature: six lines to check
- Mobile first: the person’s own mobile on the first contact line, in international format.
- Licence line: the number, in the form your licensing board publishes.
- Classification: a service description that stays inside what the licence covers.
- Quote link: one quote-request page, not three.
- Insurance wording: only claims your board allows and you can document.
- Company details: registered number and address if you are a limited company in the UK.
What the sources say about a construction company email signature
None of the three pages talks about email signatures by name. What they do say is useful, and we mark where they stop.
| Place | Source | What it says | Where it stops |
|---|---|---|---|
| California | CSLB advertising guidelines | A licensed contractor must include the licence number in all construction contracts, subcontracts, calls for bid and all forms of advertising. Advertising covers “any website or post that solicits business on the Internet”. The civil penalty for a first offence is between $100 and $1,000. | It does not name email. |
| New South Wales | NSW government page | Advertisements must show the licensee’s name, the licence number with the correct category of work, and a business telephone number. The licensee’s name and licence number must be shown in all advertising. | The page lists print, internet, television, radio and other advertising. It does not say whether an email signature counts. |
| UK limited companies | GOV.UK stationery page | Business letters, order forms and websites must show the company’s registered number, registered office address and where it is registered. | It does not mention builders, licences or email. |
We opened no UK page that sets a builder’s licence number, so we say nothing about one. A construction company email signature that sells work is close enough to advertising that the cautious choice is to include the licence line, then ask your board whether an email signature counts. The question for you is not “can I leave it out” but “what is the format my board publishes”.
Construction company email signature template 1: a general contractor
California’s board says a licence number belongs in contracts, calls for bid and advertising. A general contractor’s estimator sends all three kinds of email. So the licence line sits in the title row, beside the name, where a reader finds it without hunting.
|
Template 1: boxed layout with the licence number beside the title, a mobile number first, a quote page and default social icons. The company, number and person are made up.
Notes on the template:
- Licence number: the format here is a placeholder. Copy the one on your licence, and check the board’s page for how it wants the number shown.
- Service line: the CSLB page says you cannot advertise for work outside the classes you hold, and that licensed “A” and “B” contractors can advertise as general contractors. Keep the words after the job title inside your licence.
- Icons: this example keeps the default social icons so you can see them. A contractor with no active social pages should remove them.
- Mobile first: the person’s mobile is the first number, the office line second.
- Quote link: the website line points to the quote page, so the click is the next step, not the home page.
Construction company email signature template 2: a licensed trade
A trade business is often one person with a van. New South Wales asks that the licence number come with the correct category of work, plus a business phone number. A short signature can hold all of that.
|
Template 2: compact layout for a sole trader, with the licence and category in one line. The business, number and person are made up.
What to copy: the category of work written next to the number, because the NSW page asks for it. What to change: the number format, which comes from your own licence. Note the missing office line: for a sole trader, the mobile is the business line.
Why a contractor email signature puts the mobile number first
The site is where the call happens. A supplier at the gate, a client at a half-finished kitchen or a surveyor on the roof reads email on a phone, and wants to tap one number. That is our reasoning, not a published rule, and it points to a few habits:
- Put the person’s mobile on the first contact line. The office number goes below it.
- Write the number with the country code. Our article on the phone number in an email signature shows the pattern.
- Make it tappable. Our guide to a clickable phone number in an email signature explains how, and what to check.
- Keep the licence line on its own row. It should not wrap into the phone numbers on a narrow screen.
A trades business email signature that hides the mobile under three social icons has put the least useful thing first.
Insurance and bonding lines: say less
Contractors like to show that they are insured, and a construction company email signature is an obvious place to say so. The California board’s page is a good reason to slow down. It says the law prevents you from noting in advertising or any presentation to the public that you are bonded, because the statement could lead a consumer to believe that bonding offers more protection than it does. The page says nothing about liability cover, and it applies in California. Your board may have different rules.
Our suggestions are caution and a document trail:
- Do not claim what you cannot show. If your signature says “fully insured”, you should be able to produce the certificate.
- Prefer a link to a statement. “Insurance details on request” is safer than a wording that may be restricted.
- Check the wording with your board before it goes into every email, and again when the rules change.
The same caution applies to words like “bonded”, “guaranteed” or “approved”. If a regulator restricts them in advertising, a signature that says them may be advertising.
A quote link without a clutter of badges
In a construction company email signature, the request-a-quote link is the call to action. Give it one line and make it the only link beyond the website. Resist adding badges for associations, awards and manufacturer partnerships unless you are a member and the body allows the badge. Each badge is a picture that can be blocked, and each one is a claim to defend. Our simple email signature guide shows how little a signature needs.
A construction company email signature for a UK limited company
A UK builder that is a limited company should check the company details line. The GOV.UK page says business letters, order forms and websites must show the registered number, the registered office address and where the company is registered. Our article on UK business email legal requirements explains what those rules say, and what they leave open, about email. Put the company line in the footer, in small type, below the contact lines.
Rolling out a construction company email signature
A builder with an office team and a dozen site managers wants one construction company email signature design with the same footer on every email, and each person’s mobile in their own details. In emailfooter the admin fixes the layout, colours and a legal footer once, and each person edits their own name, title and numbers. People install the result themselves by following the steps shown, because emailfooter does not push signatures into mailboxes. It is English-only for now. For a company of any size, see also our guide to the small business email signature.
Before you publish, read the licence line against your board’s page, send yourself an email from a phone, and tap the number. If the licence line, the mobile number and the quote link all work, your construction company email signature is ready.
Frequently asked questions
What should a construction company email signature include?
The person’s name and role, a mobile number first, the company name, the licence number where your board asks for it, and a quote link. Add company registration details if you are a limited company in the UK.
Does a contractor email signature need a licence number?
It depends on your board. California’s board says the licence number goes in all forms of advertising, and the NSW page says the licensee’s name and licence number must appear in all advertising. Neither page names email, so ask your board whether a signature counts.
Can a builder say “fully insured” in an email signature?
Check your board first. California’s contractor board says the law bars advertising that you are bonded. If you do state cover, keep the certificate to hand.
How should a trades business email signature show phone numbers?
Put the person’s mobile first, in international format, and the office number second. A sole trader can use one number.
Should a construction company email signature have a logo?
A small logo helps a client recognise the company. Keep the text readable without it, since mail apps can block pictures.
