A business email signature South Africa teams can reuse has a name and role, the company’s registered name, a phone number written with +27 and no leading zero, a website, and, if you want it, a footer line with the registration number and VAT number. The footer lines are a decision to make with your adviser, because the laws we opened name letters, invoices and websites and not email signatures. Marketing email is the one place where South African law clearly asks for a sender identity and a way to stop.
This guide to a business email signature South Africa teams can copy gives a drawn example, a +27 conversion table, and a five-point check. We read the sources on 5 October 2026: the ICASA numbering plan notice hosted by the ITU, ITU Recommendation E.164, CIPC’s website, the South African Revenue Service, the Companies Act and the Electronic Communications and Transactions Act as shown on Acts Online, and the Protection of Personal Information Act in the Information Regulator’s PDF. It is general information, not legal advice.
Business email signature South Africa: 5 checks
- Phone: write +27, then the number without its leading 0, in groups of 2, 3 and 4 digits.
- Name: use the company’s registered name exactly as CIPC shows it.
- Registration number: optional in a signature. Copy it from your CIPC record, format year/sequence/type.
- VAT number: a tax invoice must show it, per SARS. We found no email rule, so treat the signature line as optional.
- Marketing mail: identify the sender and give a stop address (POPIA section 69(4)). Keep that on campaigns, not staff signatures.
A business email signature South Africa example
Here is a made-up Cape Town company. The person’s details sit above the line, and the company details sit in a footer line that the whole team shares.
|
Example only. The company, numbers and person are made up. The footer shows the shape, not a verified legal wording.
The registration number in the footer is a placeholder in CIPC’s format. The VAT number is left in brackets on purpose. Copy both from your own records.
+27 numbers in a business email signature South Africa clients can dial
The ICASA notice on the national numbering plan, hosted by the ITU (it is a 2001 notice of intended regulations, so an old document), says South Africa’s country code is 27. The code is followed by the national number without the national dialling prefix “0”. It recommends a three-three-four layout for ten-digit numbers, such as 012 345 6789. ITU Recommendation E.164, listed by the ITU as in force (version 02/26), is the international standard behind the +.
| What people dial in South Africa | What to write in the signature |
|---|---|
| 083 555 0123 (mobile) | +27 83 555 0123 |
| 021 555 0100 (Cape Town) | +27 21 555 0100 |
| 011 555 0100 (Johannesburg) | +27 11 555 0100 |
| 012 555 0100 (Pretoria) | +27 12 555 0100 |
| 031 555 0100 (Durban) | +27 31 555 0100 |
The area codes come from the same notice, which lists Gauteng central as 010 and 011, Pretoria as 012, Cape Town as 021 and Durban as 031. The numbers in the table are fake. Do not write “+27 (0) 21”: the notice says the 0 is not part of the international form. Use spaces rather than brackets or hyphens, and test one call from a foreign number. Our guide to writing a phone number internationally covers other countries.
The registration line in a business email signature South Africa companies add
CIPC’s website says a for-profit company may be registered with or without a reserved name. If it has no name, its registration number becomes its name, and CIPC’s guidance for searching describes the number as year, sequence and type. The format in our example follows that pattern. Copy yours from the certificate or the CIPC search result.
On duty: section 32(4) of the Companies Act, as shown by Acts Online (a private publisher, so a secondary source), asks a company to show its name and registration number in notices and official publications, including electronic ones, and in letters, invoices and receipts. Section 43 of the Electronic Communications and Transactions Act asks a supplier selling by electronic transaction to show its registration number and office bearers on its website. Neither text mentions email signatures. Our article on the company registration number in an email signature goes through that gap. In short: put the line in a shared, locked footer if your adviser says to, and do not rely on staff to type it.
The VAT line in a business email signature South Africa vendors ask about
SARS’s page on tax invoices (last updated 11 March 2021 on the page) says a valid tax invoice must contain the supplier’s name, address and VAT registration number, plus the other items it lists. That is an invoice rule. We did not read any SARS rule about email signatures. If you are a VAT vendor, your invoice template must carry the number. A signature line is a courtesy, and many vendors skip it. A company that is not VAT registered should leave the line out, because a placeholder number looks like an error.
A POPIA-aware opt-out in a business email signature South Africa teams use
Section 69(1) of POPIA, read in the Information Regulator’s PDF of the Act, prohibits processing personal information for direct marketing by electronic communication, including e-mail, unless the person consented or is a customer on the conditions in 69(3). Section 69(4) says any direct marketing communication must contain the sender’s identity and an address to which the recipient can send a request that such communications cease. The Regulator’s Chapter 8 page, dated 23 February 2023, lists the section by title, so we read the text in the PDF.
For a campaign, a line in different words from our POPIA article could be:
This is a marketing message from Table Bay Trading (Pty) Ltd. If you would rather not receive these, email stop@tablebay.example and we will remove you.
It names the sender and gives a stop address. It does not show you had consent. Keep consent records elsewhere, and read our full POPIA email disclaimer article before using any of it. Put this line on marketing messages and not on every staff signature. A personal signature that says “marketing message” on an invoice reply is just noise.
Choosing a domain for a business email signature South Africa clients trust
The email address is part of the signature, and a local domain helps South African clients trust it. Our guide to the .co.za domain covers who runs it and how registration works.
What we could not confirm about a business email signature South Africa
- Email duties. We found no South African text we opened that names the email signature as a place where a registration or VAT number must appear.
- Primary sources. Acts Online is a private publisher, and we read the Companies Act and the ECTA only there.
- Numbering. The ICASA notice is from 2001. We did not find a current ICASA plan to confirm the area-code list.
- Regulated professions. Estate agents, lawyers and accountants may face rules from their own regulators. We did not read them for this article.
Rolling out a business email signature South Africa staff all use
The risk with footers is that they appear on some messages and not others. emailfooter, a free WordPress plugin made by Ulrea, lets the company admin set the design and a company details footer once. Each employee adds their own details and follows numbered steps for their mail app. Nothing is pushed into mailboxes, it has no click tracking, and it is English only for now. If you would rather not run a site, emailfooter Managed is hosted for you and priced on request.
Frequently asked questions
What should a business email signature South Africa companies use include?
A name and role, the company’s registered name, a +27 phone number, an email and a website. A registration number and a VAT number are optional footer lines.
How do I write a +27 number in an email signature?
Drop the leading 0 and put +27 first, so 021 555 0100 becomes +27 21 555 0100.
Do I have to put my VAT number in my email signature?
We found no rule that says so. SARS requires the VAT number on a tax invoice, which is a different document.
Does POPIA require a disclaimer on every email?
Not in the section we read. Section 69 concerns direct marketing by electronic communication, and requires the sender’s identity and a stop address on those messages.
Is a South African company email signature the same as a letterhead?
Not necessarily. The Companies Act text we read names letters, invoices and official publications, and we could not confirm that it treats a business email as a letter.
