How to add a handwritten signature to an email signature

How to add handwritten signature to email: scan, clean and size your ink, insert it in Gmail or Outlook, and weigh the privacy and legal limits first.

To add handwritten signature to email, sign on white paper, scan it, clean the background, save a small PNG and insert it through the image option in your mail app’s signature editor. Both Gmail and Outlook accept pictures there, so you can add handwritten signature to email without a signing service. Keep the picture small, put it above your typed name, and decide first whether you are happy for every recipient to hold a copy of your hand.

These steps follow Google’s and Microsoft’s help pages, read in October 2026. The scanning advice and the pixel sizes are ours, and we say so each time. The legal sections cover the United States and the United Kingdom only, from sources we opened, and are general information, not legal advice.

Add handwritten signature to email in six lines

  1. Sign in dark ink on plain white paper, and choose your best attempt.
  2. Scan or photograph it flat, in even light, and crop tight to the ink.
  3. Clear the background and save a PNG.
  4. Size it for the screen: about 150 by 50 pixels shown, 300 by 100 saved.
  5. Insert it in the signature editor, above your typed name.
  6. Test in light mode, dark mode and as plain text.

Scan and size the signature before you add handwritten signature to email

Steps 1 to 4 in the box above are our rule of thumb, not vendor guidance. Before you add handwritten signature to email, remember that a footer signature is small, so a high resolution scan only makes a heavy file. Decide the size you want on screen, then save the file at twice that, which keeps the strokes crisp on dense phone screens. Our guide to a blurry email signature explains the doubling.

Shown on screenFile to saveFits
120 by 40 pixels240 by 80A compact signature with little room
150 by 50 pixels300 by 100The default we suggest
180 by 60 pixels360 by 120A longer signature with space above the name

Google’s troubleshooting page gives 100 pixels high by 1000 wide as the maximum for signature images, and 70 to 100 high by 300 to 400 wide as its recommendation. It does not say whether it measures the saved file or the displayed size. A 300 by 100 file shown at 150 by 50 sits inside the cap on either reading, which is why we chose it.

On the ink colour, the contrast arithmetic below is ours, worked out with the formula the W3C publishes for contrast.

Ink on a transparent PNGOn a white pageOn a dark page (#131a28)
Near-black #11111118.88 to 11.08 to 1
Dark blue #1f3a8a10.34 to 11.68 to 1
Mid blue #6b7fb53.94 to 14.41 to 1

Black ink vanishes in a dark inbox. Two fixes: save the scan on a white or pale tile with a little padding, or use a mid-tone ink that clears 3 to 1 on both. W3C asks for 3 to 1 for the parts of a graphic needed to understand it (WCAG 1.4.11). Our article on email signature dark mode covers the same trap for logos.

Add handwritten signature to email in Gmail

Google’s page on creating a Gmail signature says to open Settings, click See all settings, and find the Signature section. It says you can format the signature “by adding an image”, that an image counts toward the 10,000 character limit, and that Save Changes at the bottom of the page finishes the job (Google).

The page does not name the editor’s image icon. Its troubleshooting page does name three ways to add a picture (Google):

  • Upload: a file from your device.
  • My Drive: a public image from your Google Drive.
  • Web Address (URL): the address of an image that is publicly available on the web.

It also lists the size options after upload: select the image in the editor, then choose Small, Medium, Large or Original size. If a picture will not go in by one method, try another.

For privacy, note the word “public”. Two of the three methods point at a publicly reachable file. The page does not say where an upload is stored, so we cannot say how it is protected.

Google’s steps for the Gmail app on Android ask for “the text for your signature” and mention no picture. Treat a handwritten image as a computer-only feature unless your own phone shows otherwise.

Add handwritten signature to email in Outlook

Microsoft’s signature page says a signature can include text, links and pictures, “such as your handwritten signature or a logo” (Microsoft).

Classic Outlook for Windows. Open a new message, choose Signature > Signatures, and select the signature to change. Select the Image button, find the file and select Insert. To resize, right-click the image, choose Picture, open the Size tab, and keep Lock aspect ratio ticked. Select OK twice to save.

New Outlook and Outlook on the web. The page gives the route to the editor, Settings > Accounts > Signatures, then Add signature or Edit signature. It says the signature can hold pictures but gives no steps for inserting one, so we give no menu path.

Microsoft adds a warning for classic Outlook: VML tags in a signature can make elements show as attachments, so use the steps above for pictures. Our guide to an image showing as an attachment covers that.

Can you add handwritten signature to email and have it count legally?

The short answer from the sources we opened is that the image alone decides little. What decides is whether you meant to sign a particular document.

  • United States. The ESIGN Act defines an electronic signature as a sound, symbol or process attached to or logically associated with a record and adopted with “the intent to sign” (15 U.S.C. 7006). Section 7001(a) says a signature may not be denied legal effect solely because it is electronic (15 U.S.C. 7001).
  • United Kingdom. The Law Commission’s statement of the law (project page, report published 4 September 2019) says an electronic signature can execute a document if the signer intends to authenticate it and any formalities are met. Courts look at the surrounding circumstances. Among the non-electronic forms courts have held valid, it lists a stamp of a handwritten signature, and it says electronic equivalents of those forms are likely to be recognised (Law Commission). The Electronic Communications Act 2000, section 7, makes an electronic signature admissible in evidence (legislation.gov.uk).

Our reading: a picture added to every message, including “see you at 3”, is weak evidence that you intended to sign any one of them. The same Law Commission page says some documents need a specific form, such as being handwritten, or a witness. A pasted image does not meet those.

For a contract that matters, use a signing process built for it. Our article on whether email signatures are legally binding also covers Canada and South Africa. We did not read EU law.

The privacy risk when you add handwritten signature to email

We found no government page to cite here, so this section is our judgement. Anyone who receives your message can save the picture. It can then be copied onto another document by someone who is not you. A forwarded message carries it further.

Our rules of thumb:

  • Make the picture small, so the detail is limited, as in the table above.
  • Use a simplified version, not the signature on your bank forms, your passport or your contracts.
  • Prefer Upload to a public Web Address or Drive link, since a public link can be opened by anyone who finds it.
  • Keep your typed name, title and number as text beside it, so the picture is never carrying information.

When to add handwritten signature to email, and when to skip it

The habit suits messages that read like letters: a formal reply, a reference, an offer, a note from a solo practitioner whose clients expect a personal touch. It adds noise to quick threads.

Both services let you choose a different default for new messages and for replies. Google says you can set a default for emails you compose or reply to, and pick another while writing with Insert signature. Microsoft’s classic Outlook has separate New messages and Replies/forwards boxes. So use the version with the scan for first contact and a shorter one for replies.

Here is the placement we suggest, drawn by emailfooter’s engine. The grey tile stands in for the scan, since the example images are generated and cannot show real handwriting.

Stand-in layout: the grey tile marks where the scan would sit, above the typed name and title. Example only. The firm and person are made up.

emailfooter has no field for a handwritten signature. Its picture spot holds an employee photo or the company logo, and employees install the signature in their own mail app by following the steps shown. If you want the scan too, add it in your mail app and test it.

So, should you add handwritten signature to email at all? Do it when the messages read like letters and you are comfortable with the copy risk, keep the typed details beside it, and leave it out of quick threads. A small, tested picture adds warmth. A large, untested one adds a way for the signature to vanish in a dark inbox.

Frequently asked questions

How do I add handwritten signature to email in Gmail?

Open Settings, then See all settings, and find Signature. Add the image through the editor, using Upload, My Drive or Web Address, then click Save Changes.

Can I add handwritten signature to email in Outlook?

Yes. Microsoft says a signature can include your handwritten signature. In classic Outlook use Signature > Signatures, then the Image button.

What size should a scanned signature in email be when I add handwritten signature to email?

Google’s maximum for signature images is 100 pixels high by 1000 wide. We suggest showing it about 150 by 50 pixels and saving it at 300 by 100.

Is it safe to add handwritten signature to email?

It carries a risk, because every recipient can save the picture. Our rules of thumb are in the privacy section above.

Is a handwritten email signature legally binding?

Not by itself. The sources we read in the US and UK turn on whether you intended to sign the document. This is general information, not legal advice.

Why does my handwritten signature look blurry or disappear?

A small file stretched larger looks soft, and black ink on a transparent PNG vanishes in dark mode. Save at twice the shown size and test in dark mode.
