A school email signature template works when every member of staff sends the same block: their name and role, the school’s name and main phone number, the school website, and a short footer. The personal details change from person to person and the rest stays fixed. Below are four staff versions, two drawn examples, and the admin steps for Google Workspace and Microsoft 365.
For one teacher’s signature with examples for parents, colleagues and students, see our teacher email signature article. This page is for the person who sets the template for the whole school. The admin steps follow Google’s page on Workspace signatures (last updated 1 October 2026) and Microsoft’s page on organization-wide signatures (dated May 2026), both read in October 2026. The safeguarding facts come from the Department for Education’s Keeping children safe in education 2026, which applies to England. The rest is our judgement.
School email signature template: six lines
- Name and role: the staff member’s own, with the title the school uses.
- Phone: the school’s main line, not a personal mobile.
- School block: name, logo, website, identical for everyone.
- Safeguarding line: optional, and a pointer to the school’s process, not a replacement.
- Disclaimer: two short sentences, in small type.
- Leave out: personal social links, pupil names, photos and quotes.
The fields in a school email signature template
Each field has a rule, and the rule is ours unless it says otherwise.
| Field | Rule | Why |
|---|---|---|
| Name | With the title staff use in school, such as Ms, Mr or Dr | Parents know staff by title and surname. |
| Role | The role in plain words, for example “Class Teacher, Year 5” | Saves a reply asking who you are. |
| Department | Optional, one phrase | Helps in a secondary school. |
| Phone | The school’s main number | Parents ring the office, not a personal phone. |
| The school address only | One official channel. | |
| School block | Name, logo, website | Same for everyone. |
| Footer | Safeguarding line, if used, then the disclaimer | Small type below a rule. |
emailfooter has a phone rule that shows the company line only, which suits this table. A teacher’s personal number never appears, even if they type one.
Four staff versions of the school email signature template
The same block fits four groups, with only a few lines changing.
- Teaching staff: name, role, department, school line.
- School leaders: add the academic title and the school address.
- School office: a role in place of a person, such as “School Office”, with opening hours if you give them.
- Safeguarding lead and deputies: the role, plus the safeguarding line.
A role mailbox on the office signature has one advantage. When the office manager changes, nobody has to edit a name.
Two examples of a school email signature template
The first is for a teacher, in the aligned layout. The second is for the school office, in the compact layout, with the footer filled in.
|
Teaching staff: the school line only. The school and person are made up.
|
School office: a role instead of a person, with the footer. The school and staff are made up.
A safeguarding line in a school email signature template
The England guidance says all staff must read part one of Keeping children safe in education 2026, which takes effect on 1 September 2026. Its overview tells staff to know their designated safeguarding lead (DSL) and the deputy, to report concerns to the DSL or deputy without delay, and to call 999 if a child is in immediate danger.
The document does not say that a signature must carry a safeguarding contact. Adding one is our suggestion, and arrangements outside England may differ. If you add the line:
- Point to the process, with a phone number. The line should not suggest that a concern can wait in an inbox.
- Name the role first, then the person, so the line stays true when staff change.
- Put it in the office and leadership footers rather than in every teacher’s signature. We are not recommending a rule from the guidance, only a place that avoids clutter.
If your school is independent in England, the Department for Education also registers independent schools, on a GOV.UK page last updated 16 September 2026. The page does not mention email, so a registration line in the footer is your choice.
The disclaimer in a school email signature template
Keep it to two sentences: who the email is for, and what to do if it arrives by mistake. We keep the wording plain so a parent can read it without help. Our email confidentiality notice article gives three lengths and says what no source we read says about legal effect.
Rolling out a school email signature template
The first two routes put the school block in the footer of every outgoing message. The third gives each person a signature of their own.
| Google Workspace footer | Microsoft 365 rule | emailfooter | |
|---|---|---|---|
| Where | Admin console, Compliance, Append footer | Exchange admin center, Mail flow, Rules | The app, then each person’s mail app |
| Same for everyone | Yes | Yes | The design is; the details are personal |
| Staff can remove it | No | Not stated on the page | Staff install it themselves |
| Images | 70 to 100 by 300 to 400 recommended, 100 by 1000 maximum | “You can’t embed images” | Logo and photo in the design |
Google Workspace
Google’s page (read in October 2026) puts school-wide text in the Admin console under Compliance, in a setting called Append footer. Four points matter for a school. The footer takes formatted text and an optional image. Staff cannot see it while writing, and cannot change or remove it. By default it goes only to people outside the organisation, with a tick box to include internal mail. And a change can take up to 24 hours to reach everyone. The click path is in our guide to the Google Workspace append footer.
The design that follows is ours. Put the school block and the disclaimer in the footer, and let each person keep a personal signature with only their name and role, which Google says users can still create. We did not check whether the Education edition shows the same menu.
Microsoft 365
Microsoft’s page calls organization-wide signatures disclaimers and builds them as a mail flow rule in the Exchange admin center. The page lists limits that suit a school to know in advance:
- The text cannot sit directly under the latest reply or forward.
- Staff cannot see it in their Sent Items folder.
- Images cannot be embedded.
- A line that uses a variable, such as a phone number, is skipped for anyone whose data is missing.
Because of the last point, fill in the directory record for every member of staff before you use name or phone variables. Our guide to setting a company signature in Microsoft 365 has the steps.
A school email signature template with emailfooter
emailfooter lets the school admin design the block once. Staff fill in their own name, role and department, and the app walks them through installing the result in Gmail or Outlook. It does not write to mailboxes, and it is English only for now. There is more on the schools industry page, and our company email signatures guide covers rollout in general. Our student email signature article is for the other side of the inbox.
Frequently asked questions
Where can I get a school email signature template?
Use the fields above and build one in your mail app, or in a tool that applies one design to every member of staff. The template is a design and a set of rules, not a file.
What should school staff include in an email signature?
Name, role, the school’s main number, the school email and website, and a short footer. Leave out personal mobiles and social links.
Can one school email signature template work in Gmail and Outlook?
The content can be the same. The way you apply it differs: Google uses an appended footer, Microsoft uses a mail flow rule, and each has its own limits on images.
Should a school email signature carry a safeguarding contact?
The England guidance tells staff to know their DSL and report concerns without delay, but does not ask for a signature line. It is optional, and best kept to office and leadership footers.
Should teachers put a photo in a school staff email signature?
We suggest not. Parents and pupils get the name and role as text, and the school avoids publishing staff photos by default.
